Role Purpose The Academic Mentor (AM) is the academic owner of an allotted cohort of students and follows every learner’s journey through the academic year: from baseline at enrolment → assessments → academic improvement → retention → renewal. The AM is the primary academic point of contact for students and parents, working closely with faculty/tutors and academic operations to ensure that learning gaps are identified early, interventions happen on time, and measurable improvement is visible.
Key Responsibilities
1. Student Academic Growth & RAG Improvement
- Own the academic progress of every student in the assigned cohort.
- Establish a baseline and track attendance, class participation, homework/practice, assessments, test scores and school examination performance.
- Maintain a clear RED–AMBER–GREEN (RAG) status for each student based on defined academic and engagement parameters.
- Identify RED/AMBER and at-risk students early and diagnose the underlying issue: concept gap, practice gap, attendance, engagement or motivation.
- Create student-specific intervention plans in coordination with faculty/tutors.
- Track interventions until measurable improvement is achieved.
- Drive movement from RED → AMBER → GREEN and escalate cases where interventions are not producing improvement.
- Maintain a complete record of each student’s academic journey and progress against baseline.
2. Parent Engagement & PTM Ownership
- Be the go-to academic person for the parent throughout the year.
- Conduct structured PTMs at the defined frequency, plus additional interventions for RED/AMBER students.
- Present academic progress clearly: where the student started, current performance, learning gaps, RAG status, interventions and next milestone.
- Close every PTM with three agreed actions:
- One explicit action for the Student
- One clear action or check for the Parent
- One clear action for the Academic Team
- Document parent feedback and ensure closure of commitments made during PTMs.
- Proactively communicate concerns and progress rather than waiting for parents to raise issues.
- Maintain parent confidence during periods of weak performance through data, transparency and a credible improvement plan.
- Counsel learners and parents on study habits, exam preparation and consistent class attendance.
3. Student Retention
- Own the retention percentage of the assigned cohort.
- Identify early churn signals such as falling attendance, declining scores, low participation, missed assignments, reduced engagement, repeated complaints or parent disengagement.
- Follow a disciplined recovery process: Identify → Diagnose → Intervene → Follow-up → Recover
- Maintain an At-Risk Student Tracker with intervention, owner and closure timelines.
- Conduct regular follow-ups until the risk is resolved.
- Coordinate with faculty and operations to resolve academic and learner-experience issues.
- Record and analyse reasons for dropout to identify preventable causes and systemic improvements.
4. Renewal Ownership
- Own and track the renewal percentage of eligible students in the cohort.
- Build the renewal case throughout the year by making student improvement visible through baseline vs current performance, test trends, school results, RAG movement and successful interventions.
- Identify students with low renewal probability early and initiate corrective interventions.
- Present the student’s “Year of Growth” to parents ahead of the renewal window, along with the academic plan for the following year.
- Work with counselling/sales teams for commercial completion of renewals.
- Capture and document reasons for non-renewal to support broader retention analysis.
- The Academic Mentor creates the academic reason to renew; the commercial team completes the transaction.
5. Tutor/Faculty Quality & Academic Excellence
- Track class audits to evaluate tutor performance through subject accuracy, batch health, concept clarity, pedagogy, pace, engagement and doubt resolution.
- Connect student performance trends with classroom delivery to identify improvement areas.
- Provide tutors/faculty with specific, documented and actionable feedback.
- Track whether feedback results in measurable improvement in teaching quality and student outcomes.
- Escalate recurring academic-quality issues affecting students.
Eligibility & Experience
- Bachelor’s/Master’s degree in Mathematics, Science, Commerce, Education or a relevant discipline; teaching qualification preferred.
- Prior experience in teaching, online teaching, academic mentoring or student success.
- Strong school-level subject knowledge with the ability to diagnose learning gaps from student performance.
- Experience managing a student cohort and driving measurable academic improvement.
- Experience with student retention and renewal accountability preferred.
- EdTech, Test Prep or K–12 education experience is an advantage.
