Role Purpose :

The Maintenance Coordinator will oversee the day-to-day management of UK property repairs, maintenance contractors, compliance remedial works and void turn around across the portfolio. This is an office-based management role responsible for prioritising repairs, coordinating staff and contractors, monitoring completion, controlling costs, maintaining accurate records, managing compliance actions and ensuring timely communication and escalation with internal teams, landlords, residents and Local Authority clients.

Key Responsibilities :

● Manage all property maintenance requests from initial report to completion, ensuring repairs are correctly prioritised, assigned and followed up.
● Coordinate staff diaries and contractors and make sure available working hours are used effectively and repairs are completed on time.
● Manage repair priorities: Emergency - 4 hours attendance / make safe within 24 hours; Urgent - 24-48 hours; Routine - 5-7 working days, where reasonable achievable.
● Monitor open and overdue jobs,



chase delays and ensure every overdue repair has a clear reason, action and revised completion date.
● Build and manage a reliable contractor network, checking quality, response times, costs, communication, qualifications, insurance and repeat repairs.
● Review quotations and invoices, challenge unnecessary costs, obtain alternative quotes where appropriate and monitor maintenance spend and budgets.
● Identify landlord responsibility for repairs where applicable and follow up outstanding landlord or letting-agent works.
● Coordinate maintenance and remedial works arising from gas safety, EICR, fire safety, emergency lighting, Legionella, HMO inspections, alarms and other compliance checks. Escalating responsible risks immediately.
