Job Purpose
The Assistant Manager HR will be responsible for supporting and managing day-to-day HR operations, including recruitment, onboarding, attendance, payroll coordination, employee relations, performance management, training, statutory compliance, HR documentation, and employee engagement.
The role requires close coordination with department heads and management to ensure adequate manpower, employee discipline, productivity, compliance, and effective implementation of company HR policies.
Key Responsibilities
1. Recruitment & Manpower Planning
- Coordinate manpower requirements with department heads.
- Prepare and update Job Descriptions for all positions.
- Source candidates through job portals, consultants, references, social media, and other recruitment channels.
- Screen resumes and conduct preliminary interviews.
- Coordinate technical/final interviews with concerned managers.
- Maintain recruitment tracker and vacancy status.
- Negotiate salary within approved company budgets.
- Issue offer letters and appointment letters.
- Monitor joining dates and reduce offer-to-joining dropouts.
- Maintain a candidate database for future requirements.
2. Employee Joining & Onboarding
- Complete joining documentation and employee verification.
- Ensure collection of KYC, educational, experience and previous employment documents.
- Create employee records and HR master data.
- Coordinate induction and orientation of new employees.
- Explain company policies, attendance rules, leave policy, working hours and code of conduct.
- Coordinate departmental induction with respective managers.
- Monitor employees during probation.
- Coordinate probation confirmation, extension or performance improvement requirements.
3. Attendance, Leave & Payroll Coordination
- Monitor daily attendance, late coming, absenteeism and overtime.
- Maintain leave records.
- Coordinate attendance data for monthly payroll.
- Verify salary inputs including attendance, leave, overtime, incentives, deductions and advances.
- Coordinate with Accounts for payroll processing.
- Resolve employee attendance and salary-related queries.
- Maintain monthly payroll-related HR records.
4. Performance Management
- Coordinate KRA/KPI setting for employees and managers.
- Maintain monthly employee performance records.
- Follow up with department heads for performance evaluations.
- Track employees who are below expected performance levels.
- Coordinate Performance Improvement Plans (PIP).
- Maintain appraisal and increment records.
- Assist management during annual performance reviews.
- Track departmental productivity and manpower performance.
5. Employee Relations & Discipline
- Address employee grievances and workplace concerns.
- Maintain discipline regarding attendance, behaviour and company rules.
- Counsel employees where required.
- Issue verbal/written warnings, show-cause notices and disciplinary letters as per company policy.
- Coordinate disciplinary investigations where necessary.
- Maintain records of disciplinary actions.
- Handle employee conflicts professionally and confidentially.
- Work toward reducing absenteeism and employee turnover.
6. Training & Development
- Identify training requirements with department managers.
- Prepare monthly/quarterly training calendars.
- Coordinate technical, behavioural, safety and SOP-related training.
- Maintain training attendance and effectiveness records.
- Monitor skill development and multi-skilling of employees.
- Coordinate induction training for new employees.
- Maintain departmental skill matrices wherever applicable.
7. HR Policies & SOPs
- Assist in preparation and implementation of HR policies.
- Ensure employees understand company rules and procedures.
- Maintain and periodically update HR SOPs.
- Ensure consistent implementation of HR policies across departments.
- Recommend improvements to HR processes.
8. Statutory & Labour Compliance
Coordinate and maintain records related to applicable statutory requirements, including:
- PF
- ESIC
- Bonus
- Gratuity
- Minimum wages
- Leave records
- Attendance and wage registers
- Shops & Establishment / Factory-related HR requirements
- Labour law documentation
Coordinate with consultants and management for statutory filings wherever required.
9. Employee Documentation
Maintain complete employee records including:
- Employee master
- Joining forms
- Appointment letters
- Salary revision letters
- Confirmation letters
- Warning letters
- Promotion/transfer letters
- Leave records
- Training records
- Performance records
- Exit documents
- Full & Final settlement documentation
Ensure employee records remain confidential and updated.
10. Employee Engagement
- Assist in employee engagement activities.
- Coordinate birthdays, festivals, employee recognition and company events.
- Develop employee recognition and reward initiatives.
- Conduct employee feedback sessions wherever required.
- Support initiatives aimed at improving employee morale and retention.
11. Exit Management
- Conduct exit interviews.
- Record reasons for employee resignation.
- Coordinate notice period and handover.
- Obtain departmental clearances.
- Coordinate Full & Final settlement with Accounts.
- Prepare relieving and experience letters.
- Maintain employee attrition analysis.
- Identify recurring reasons for employee turnover and report them to management.
12. HR MIS & Management Reporting
Prepare and maintain HR MIS including:
- Total manpower
- Department-wise manpower
- Vacancies
- New joiners
- Resignations
- Attrition
- Attendance
- Absenteeism
- Overtime
- Recruitment status
- Employee turnover
- Training status
- Probation status
- PIP cases
- Pending confirmations
- Employee performance status
Submit periodic HR reports to management.

Qualification
Preferred Qualification: MBA / PGDM in Human Resources or equivalent HR qualification.
Graduates with strong practical HR experience may also be considered.
Experience
Preferred Experience: 3–5 years in Human Resources.
Experience in a manufacturing / electronics / engineering organisation will be preferred.

- Follow up directly with department heads regarding attendance, manpower and HR compliance.
- Conduct preliminary interviews.
- Issue routine HR communications as authorised.
- Maintain and enforce HR procedures.
- Escalate disciplinary and performance issues to HR Manager/Management.
- Coordinate PIP and employee counselling.
- Verify HR documentation and attendance before payroll processing.
Final decisions regarding hiring, termination, major salary revisions, promotions and disciplinary termination should remain with authorised senior management.
Internal Coordination
The position will regularly coordinate with:
