Executive Assistant to Director / Business Operations Manager

Job Type: Full-Time
Location: Remote
Working Hours: Flexible, with availability required for meetings during UK business hours
Compensation: £24K - £33K + performance-based bonuses

About the Role

We are looking for a highly organised, proactive and commercially minded Executive Assistant to the Director / Business Operations Manager to work directly with the Director across a portfolio of businesses.

This is not a traditional Executive Assistant position focused only on diary management and administration.

We are looking for someone who can become the Director’s right-hand person, take responsibility for day-to-day business operations, manage and coordinate teams, follow up on targets and deadlines, solve problems, and ensure that projects and businesses continue moving forward without requiring constant supervision from the Director.

The successful candidate will work across multiple businesses and will be expected to understand what is happening within each company, communicate with team members, monitor performance, identify issues and ensure agreed actions are completed.

You should be comfortable operating as both an Executive Assistant and a Manager.

Key Responsibilities

Your responsibilities will include:

- Supporting the Director across all businesses and ongoing projects
- Acting as a key point of contact between the Director, employees, contractors, suppliers and other stakeholders
- Managing and coordinating teams across multiple businesses
- Delegating tasks and ensuring team members complete them correctly and on time
- Following up on outstanding tasks, projects, deadlines and commitments
- Monitoring business performance, KPIs and targets
- Holding team members accountable for agreed responsibilities and results
- Organising and leading team meetings when required
- Providing the Director with explicit updates on business performance, priorities, problems and outstanding actions
- Identifying operational problems and taking initiative to resolve them
- Helping improve systems, processes and overall efficiency across the businesses
- Managing calendars, meetings,

appointments and important deadlines
- Preparing reports, documents, spreadsheets and management information
- Coordinating recruitment, onboarding and staff-related administration where required
- Communicating professionally with clients, suppliers and business partners
- Managing confidential and commercially sensitive information
- Prioritising tasks on behalf of the Director and ensuring important matters are not missed
- Supporting new projects, business opportunities and company growth
- Taking ownership of tasks from beginning to completion rather than simply passing information between people

The Person We Are Looking For

We are looking for someone who is responsible, confident, highly organised and comfortable taking ownership.

You should be the type of person who sees a problem and works towards a solution rather than waiting to be told what to do.

The ideal candidate will have:

- Previous experience as an Executive Assistant, Operations Manager, Business Manager, Office Manager, Project Manager or similar senior coordination role
- Experience managing or supervising teams
- Strong leadership and people-management skills
- Excellent written and spoken English
- Strong organisational and time-management skills
- Excellent communication and follow-up skills
- Ability to manage multiple businesses, projects and priorities simultaneously
- Confidence communicating with employees and holding people accountable
- Strong problem-solving and decision-making abilities
- Good knowledge of Microsoft Office / Google Workspace and modern business software
- Ability to work independently in a remote environment
- High attention to detail
- Professionalism, discretion and confidentiality
- A results-focused attitude and strong sense of responsibility

Experience working directly with a business owner, entrepreneur, Managing Director or CEO would be highly advantageous.

What Success Looks Like

The Director should be able to rely on you to know what is happening across the businesses without having to personally chase every employee, task or project.

You will help create structure, ensure accountability within the teams and make sure priorities are followed through.

You will be expected to take responsibility, manage people, chase results and help keep the businesses organised and moving forward.

Working Arrangements

This is a full-time remote position.

You may be based outside the UK; however, you must have sufficient flexibility to attend meetings and communicate with the Director and teams during UK working hours when required.

This role requires reliable internet access and a professional remote working environment.

Salary & Performance Bonus

Salary will depend on experience and suitability for the position.

In addition to the agreed salary, there will be opportunities to earn performance-based bonuses linked to individual performance, business targets, team performance and achievement of agreed KPIs.

We want someone who is motivated by results and wants to grow with the businesses over the long term.

How to Apply

Please submit your CV together with a short covering message answering the following questions:

- What experience do you have supporting a Director, CEO or business owner?
- What experience do you have managing employees or remote teams?
- Have you previously managed operations across multiple businesses or projects?
- Give an example of a situation where you took ownership of a business problem and resolved it without needing constant supervision.
- What is your current location and time zone?
- What are your salary expectations?
- What is your notice period / earliest available start date?

Please note: We are looking for someone who wants to take genuine ownership and responsibility. If you are looking purely for a traditional administrative Executive Assistant position, this role is unlikely to be suitable.
