About the Role

We are looking for a Program Coordinator to manage client coordination and day-to-day execution of health and wellness programs. The role involves working closely with clients, doctors, internal teams, and external service partners to ensure a smooth experience throughout the program journey.

The ideal candidate should be organized, responsive, detail-oriented, and comfortable handling multiple coordination activities simultaneously.

Key Responsibilities

- Coordinate end-to-end activities for wellness programs, from client onboarding to post-program follow-up.
- Act as a primary point of contact for clients and provide timely responses to their queries and requirements.
- Coordinate appointments, consultations, health assessments, scans, blood tests, sleep studies, travel arrangements, and other program-related services.
- Manage pre-arrival communication and onboarding activities for clients.
- Prepare client itineraries, program schedules, checklists, and related documents.
- Coordinate with doctors, internal teams, and external vendors to ensure appointments and services are completed on time.
- Follow up on pending reports, consultations, appointments, and other client requirements.
- Maintain accurate client trackers, records, documentation, and program-related information.
- Upload and organize client reports and documents in designated folders and share relevant information with clients.
- Conduct post-program follow-ups through calls, emails, or messages to support continued engagement.
- Coordinate review consultations, pending reports, supplement requirements, and additional service requests.




- Collect client feedback and coordinate with relevant teams to resolve client queries.
- Support the preparation and maintenance of program documents such as SOPs, FAQs, service lists, checklists, and sample itineraries.
- Work closely with different teams to ensure smooth execution of client programs and a consistent customer experience.

Requirements

- Bachelor's degree in any relevant discipline.
- Prior experience in program coordination, client coordination, customer success, hospitality, healthcare, wellness, travel coordination, or a similar role is preferred.
- Good verbal and written communication skills.
- Strong coordination and follow-up skills.
- Ability to manage multiple tasks and priorities effectively.
- Good attention to detail and documentation skills.
- Comfortable communicating with clients, internal teams, professionals, and external vendors.
- Basic proficiency in Google Workspace / MS Office and maintaining trackers.
- A customer-focused and responsible approach to handling client requirements.
