Receptionist / Front Office Executive

Job Summary

We are looking for a friendly, organized, and responsible Receptionist to be the first point of contact for our clinic. The candidate will be responsible for managing the reception area, coordinating appointments, communicating with parents and clients, and supporting the smooth day-to-day administration of the clinic.

Key Responsibilities

- Greet and welcome children, parents, caregivers, and visitors warmly.
- Manage incoming calls, WhatsApp messages, and other client enquiries.
- Schedule, reschedule, and confirm therapy appointments.
- Maintain daily appointment schedules and therapist calendars.
- Register new clients and maintain accurate patient records.
- Handle billing, payments, receipts, and basic cash management.
- Coordinate with therapists regarding appointments and client requirements.
- Follow up with parents regarding appointments and pending sessions/payments.
- Maintain attendance and therapy session records.
- Manage basic administrative and front-office documentation.
- Ensure the reception and waiting area are clean, organized, and welcoming.
- Assist the clinic management with day-to-day administrative tasks.
- Maintain confidentiality of client and clinic information.




- Handle parent enquiries professionally and escalate concerns to management when required.

Requirements

- Minimum 12th pass / Graduate preferred.
- Previous experience in reception, front office, healthcare, education, or customer service is preferred.
- Good communication and interpersonal skills.
- Comfortable communicating with parents and children.
- Basic computer knowledge, including MS Office/Google Workspace.
- Ability to use WhatsApp and manage digital communication professionally.
- Good organizational and multitasking skills.
- Friendly, patient, and approachable personality.
- Ability to work responsibly in a child-friendly clinical environment.
- Tamil and English communication skills required.

Preferred Qualities

- Experience in a therapy clinic, hospital, school, or pediatric setting will be an advantage.
- Good telephone etiquette.
- Presentable and professional appearance.
- Willingness to learn and take responsibility.
- Ability to work as part of a multidisciplinary team.

Working Hours

Full time | Clinic working hours

Salary

Based on experience and skills.
