Job Summary

We are seeking a highly organized and proactive HR & Admin Assistant to support our heavy fabrication facility. You will oversee the day-to-day HR operations and facility management for a workforce of 300+ laborers. This role includes managing labor compliance, maintaining employee databases, and ensuring the smooth operation of on-site canteen and accommodation facilities.

Key Responsibilities

1. Talent Acquisition & Recruitment (Skilled Labor) , Labour & Workforce Management

· Handle 300+ labour workforce efficiently.

· Maintain labour discipline and workplace behaviour.

· Resolve labour grievances and disputes.

· Ensure smooth manpower availability for production targets.

· Coordinate with department heads for manpower planning.

· Manage end-to-end recruitment for the shop floor: Certified Welders (SMAW/GMAW/TIG), Fitters, Grinders, NDT Inspectors, and Fabrication Engineers.

- Conduct recruitment for labour, fitters, welders, engineers, helpers, security staff, etc.
- Arrange trade tests and interviews.
- Complete joining formalities and documentation.
- Maintain employee personal files and records.

· Develop sourcing strategies via referrals, technical institutes, and consultants to combat skilled labor shortages.

· Coordinate technical onboarding and inductions, ensuring new hires understand company safety standards immediately.

- Assist the HR Manager in sourcing and recruiting skilled and unskilled laborers (welders, fabricators, fitters, and helpers).
- Manage the end-to-end onboarding process, including induction, safety gear (PPE) distribution, and policy orientation.

· Coordinate exit formalities, full and final (F&F;) settlements, and clearance processes.

2. Labor Administration & Attendance Management

- Maintain comprehensive records and personal files for all direct, contractual, and outsourced laborers.
- Track daily attendance, shift logs, and overtime (OT) hours for accurate payroll processing.
- Manage biometric attendance system.
- Prepare daily attendance and absentee reports.
- Coordinate upcoming 2nd shift manpower planning.
- Ensure proper shift rotation and deployment.
- Monitor overtime records and approvals.
- Issue ID cards, gate passes, and maintain entry/exit logs for staff and visitors.

3. Contractor Management

- Handle 30+ contractors and their workforce.
- Verify contractor documentation and statutory compliance.
- Monitor contractor attendance and billing records.




- Ensure contractor workers follow company safety rules.
- Maintain contractor agreements and gate pass records.

4. Statutory Compliance & Labor Law Management

- Ensure strict compliance with labor laws, specifically regarding contract labor (CLRA), Factories Act, and ISO container industry standards.
- Manage relationships with external manpower contractors, ensuring timely wage payments and compliance with EPF/ESI regulations.
- Coordinate with government authorities on industrial relations and administrative matters.
- Assist in maintaining statutory records and registers as required under the Factories Act and prevailing labor laws.
- Track worker safety compliance, ensuring all laborers are trained and equipped with necessary Personal Protective Equipment (PPE).
- Maintain records of employee benefits such as EPF (Employees' Provident Fund), ESIC (Employees' State Insurance), and leaves.
- Ensure compliance under:

- PF
- ESIC
- Labour Laws
- Bonus Act
- Minimum Wages
- Contract Labour Act
- Coordinate labour inspections and documentation.

5. Canteen & Accommodation Management

- Oversee the daily operations of the on-site labor accommodation, ensuring cleanliness, safety, and proper maintenance.
- Manage the on-site canteen, monitoring food quality, hygiene standards, and portion management.
- Handle vendor coordination for food supplies and hostel maintenance.
- Address worker grievances related to housing, food quality, and facility upkeep, escalating to the HR Manager as necessary.

6. Employee Relations & Shop Floor Engagement

- Resolve employee grievances promptly, focusing on minimizing turnover in a high-intensity environment.
- Conduct regular shop floor visits to maintain a positive, disciplined working culture.
- Organize employee welfare initiatives (canteens, transportation, health check-ups).
- Manage disciplinary issues in collaboration with plant management.
- Act as the first point of contact for laborer queries regarding payments, leaves, and workplace issues.
- Promote a safe working environment and ensure worker welfare protocols are met.

7. Employee Discipline & Administration

- Issue warning letters, notices, memos when required.
- Maintain company rules and HR policies.
- Handle leave management and employee records.
- Monitor housekeeping and security coordination.

8. Safety & Security Coordination

- Coordinate with safety department for PPE compliance.
- Monitor security guards and gate management.
- Ensure visitor and worker entry procedures are followed.





Required Skills and Qualifications

- Experience: 5–6 years of HR experience, with at least 2–3 years in manufacturing, heavy engineering, or fabrication industries.
- Education: MBA HR / MSW / MHRM / Graduate with HR experience /Bachelor’s or Master’s degree in Human Resources Management, Personnel Management, or related field.
- Knowledge: Strong understanding of labor legislation (Factories Act, Industrial Disputes Act, CLRA) and EHS (Environment, Health, and Safety) protocols.
- Skills: Proficiency in MS Office (Excel) and HRMS software. Excellent communication skills for negotiating and counseling.
- Competencies: Ability to work in a fast-paced environment and handle high-pressure situations.
- Knowledge Base: Familiarity with local labor laws, the Factories Act, and statutory compliance (PF, ESIC) is highly preferred.
- Soft Skills: Strong problem-solving abilities, patience in handling blue-collar grievances, and excellent communication skills.
- Technical Skills: Proficiency in MS Office (especially MS Excel) and HR management software.

· Training & Development: Organizing training for skill enhancement, safety, and performance.

· Performance Management: Supporting appraisal systems and performance feedback.

· Safety & Welfare: Promoting a safe work setting and managing welfare programs.

Pay: ₹35,000.00 - ₹55,000.00 per month
