JOB DESCRIPTION – COMPLIANCE OFFICER Position

Job Summary

The Compliance Officer will be responsible for ensuring that the organization complies with applicable statutory laws, labour regulations, company policies, and internal procedures. The role will involve regular monitoring, documentation, statutory filings, audits, and coordination with government departments, consultants, and internal departments.

Key Responsibilities

1. Statutory Compliance

- Ensure compliance with applicable labour laws and statutory requirements.
- Monitor compliance under PF, ESIC, PT, Bonus, Gratuity, Minimum Wages, Shops & Establishment Act, Contract Labour regulations, and other applicable laws.
- Ensure timely submission of statutory returns, challans, registers, and other required documents.
- Maintain an updated compliance calendar and track due dates.

2. Documentation & Records

- Maintain statutory registers, licenses, certificates, notices, and compliance records.
- Ensure proper maintenance of employee and establishment-related documents.
- Maintain records for inspections, audits, and statutory authorities.

3. Audit & Inspection

- Coordinate internal and statutory compliance audits.
- Identify compliance gaps and prepare corrective action plans.
- Coordinate with government authorities during inspections and ensure timely submission of required documents.
- Follow up on observations and ensure closure of compliance issues.

4. Labour & HR Compliance

- Ensure compliance with applicable employment and labour regulations.
- Monitor attendance, working hours, leave, wages, overtime, and employee documentation from a compliance perspective.
- Review HR policies and processes to ensure regulatory compliance.
- Support compliance related to POSH, employee welfare, safety, and workplace requirements.

5. Contractor Compliance

- Monitor statutory compliance of contractors and manpower agencies.
- Verify PF, ESIC, wage, attendance,



and other statutory documents submitted by contractors.
- Ensure contractor compliance before processing relevant bills/payments.

6. Licenses & Renewals

- Track validity and renewal of statutory licenses, registrations, certificates, and permits.
- Ensure timely renewal and maintenance of all applicable licenses.
- Maintain a centralized record of licenses and renewal dates.

7. Reporting

- Prepare monthly compliance status reports for management.
- Highlight pending compliances, risks, and deviations.
- Provide regular updates on statutory changes and their impact on the organization.
- Maintain compliance MIS and management trackers.

Required Skills

- Strong knowledge of labour laws and statutory compliance.
- Positive knowledge of PF, ESIC, PT, Bonus, Gratuity, Minimum Wages, and Shops & Establishment compliance.
- Strong documentation and record-management skills.
- Good knowledge of MS Excel and MS Office.
- Ability to manage compliance calendars and deadlines.
- Positive communication and coordination skills.
- Strong follow-up and problem-solving ability.
- Ability to handle audits and statutory inspections.

Qualification

- Graduate in HR, Commerce, Law, Business Administration, or a related field.
- LLB / MBA-HR / relevant compliance certification will be an added advantage.

Experience

3–7 years of relevant experience in statutory compliance, labour compliance, HR compliance, or a similar role.

Key Performance Indicators (KPIs)

- 100% timely statutory filings and payments.
- Zero major statutory non-compliance.
- Timely renewal of licenses and registrations.
- Proper maintenance of statutory records.
- Timely closure of audit/inspection observations.
- Contractor compliance adherence.
- Accurate and timely compliance reporting.

Authority & Responsibility

The Compliance Officer is responsible for identifying compliance risks, escalating critical issues to management, coordinating corrective actions, and ensuring that statutory and regulatory requirements are followed within the organization.

Pay: ₹30,000.00 - ₹40,000.00 per month
