Job Title: HR Compliance Manager
Department: Human Resources

Reports To: Head – Human Resources / HR Director
We are looking for an experienced HR Compliance Manager to manage end-to-end HR, labour law, factory compliance, statutory documentation, licences, and regulatory requirements.
The ideal candidate must have strong hands-on experience in factory documentation, statutory licences, licence renewals, labour law compliance, statutory registers, audits, inspections, and government documentation.
Key Responsibilities
- Manage end-to-end HR, labour law, factory and statutory compliance.
- Handle and maintain all required factory-related documents, licences, registrations, certificates, and statutory records.
- Ensure timely renewal, amendment, and maintenance of factory licences and statutory approvals.
- Maintain proper documentation related to Factory Act, labour laws, Shops & Establishments, labour welfare, and other applicable regulations.
- Coordinate with government departments and statutory authorities for licence applications, renewals, inspections, notices, and approvals.
- Ensure compliance with applicable statutory requirements including PF, ESI, Professional Tax, TDS, Gratuity, Bonus, Minimum Wages, Payment of Wages, Shops & Establishments, and other applicable labour laws.
- Maintain and update statutory registers, factory records, employee records, compliance files, licences, certificates, and returns.
- Monitor statutory and licence expiry dates and ensure timely renewals and submissions.
- Coordinate and support factory inspections, labour department inspections, statutory audits, and compliance audits.
- Handle labour department notices, queries, inspections, and compliance-related correspondence.
- Prepare and maintain compliance trackers, MIS reports, documentation, and audit records.
- Coordinate with HR, Payroll, Finance, Factory, EHS, consultants, legal advisors, and government authorities.
- Monitor changes in labour and factory-related regulations and ensure necessary compliance actions.
- Identify compliance gaps and implement corrective and preventive actions.
- Ensure proper maintenance of employee personnel files and statutory documentation.
- Support employee onboarding, transfers, exits, full & final settlement, and other HR compliance documentation.
- Ensure all factory and HR compliance documents are properly filed, updated, and readily available for audits and inspections.
Required Skills & Qualifications
- Bachelor's degree in HR, Business Administration, Labour Law, or a related field.
- 6–10 years of relevant experience in HR Compliance / Labour Compliance / Factory Compliance.
- Mandatory:
Hands-on experience in handling factory documentation, statutory licences, registrations, renewals, and compliance records.
- Strong knowledge of Indian labour laws and factory compliance requirements.
- Experience handling PF, ESI, PT, TDS, Gratuity, Bonus, Minimum Wages, statutory returns, and registers.
- Experience coordinating with government authorities, labour departments, consultants, and auditors.
- Experience handling factory inspections, labour inspections, audits, notices, and statutory documentation.
- Strong documentation, record-keeping, and reporting skills.
- Good knowledge of MS Excel and HRMS/payroll systems.
- Strong communication, coordination, and problem-solving skills.
- Ability to independently manage multiple compliance activities, documentation, renewals, and statutory deadlines.
Preferred
- Experience in a manufacturing/factory environment.
- Experience handling compliance for a large workforce.
- Experience dealing with Factories Department / Labour Department / statutory authorities.
- Knowledge of factory-related licences, registrations, renewals, and statutory documentation.
- Experience working with statutory consultants and auditors.
- Labour Law / HR Compliance certification will be an added advantage.
Key: Candidates without hands-on experience in factory documentation, licences, renewals, and statutory compliance may not be suitable for this position.
Pay: Up to ₹75,000.00 per month
