Position: Pharmacy Purchase Executive

Experience: Minimum 2–3 years relevant experience required

Industry Experience: Hospital / Healthcare / Hospital Pharmacy experience mandatory

- Key Roles & ResponsibilitiesManage day-to-day pharmacy purchase activities and ensure timely availability of medicines, consumables and surgical items.
- Prepare and process Purchase Orders (POs) based on stock requirements and approved requisitions.
- Perform purchase entry in HMIS/ERP system accurately and on time.
- Coordinate with approved pharmacy vendors, distributors and suppliers for quotations, availability, pricing and delivery.
- Compare vendor quotations and coordinate for competitive pricing and timely procurement.
- Verify received materials against PO, invoice, quantity, batch number, expiry date and purchase rate.
- Maintain proper records of purchase invoices, GRN, purchase orders and supplier documents.
- Conduct regular pharmacy stock audits and physical stock verification.
- Reconcile physical stock vs. HMIS/ERP stock and identify discrepancies.
- Monitor minimum/maximum stock levels, fast-moving and slow-moving items.
- Closely monitor near-expiry and expired medicines/consumables and coordinate appropriate action.
- Ensure proper batch-wise and expiry-wise inventory management.
- Coordinate with the Pharmacy In-charge, Stores, Accounts, Purchase and other concerned departments.
- Follow hospital procedures for purchase approval, documentation and inventory control.
- Prepare daily/weekly/monthly purchase and stock reports as required by management.
- Support internal and external stock audits and maintain proper documentation.
- Identify excess, shortage, duplicate and non-moving inventory and report the same to management.




- Ensure all purchase-related entries are accurate, complete and updated without delay.
- Maintain confidentiality and follow hospital quality, safety, NABH and inventory-control procedures.
- QualificationB.Pharm / D.Pharm / B.Sc. / Any relevant Pharmacy or Healthcare qualification preferred.
- Additional qualification in Hospital Pharmacy, Supply Chain, Inventory Management or Purchase Management will be an advantage.
- Good knowledge of pharmacy medicines, consumables, surgical items, medical supplies, batch and expiry management.
- Working knowledge of HMIS / Hospital ERP / Pharmacy Software is preferred.
- Good MS Excel and computer skills required.
