Position Overview
We are seeking a detail-oriented US taxation specialist with 3–7 years of relevant experience to support US tax preparation, compliance, and reporting, with bookkeeping as a secondary responsibility. The ideal candidate will coordinate with accountants or CPAs to maintain tax-ready records, support timely filings, and ensure accurate financial documentation.
Key Responsibilities
- Support preparation of federal, state, and local tax returns by compiling financial information and supporting schedules for accountant or CPA review.
- Coordinate tax-compliance activities, track filing deadlines, and maintain tax-payment records.
- Collect and maintain W-9 documentation and assist with 1099-NEC and 1099-MISC reporting.
- Support sales and use tax reconciliations, return preparation, and filing coordination.
- Compile payroll tax documentation and reconcile information related to Forms W-2, 941, and 940 in coordination with payroll providers or CPAs.
- Gather supporting records for tax notices, inquiries, and audits, escalating technical questions to the accountant or CPA.
- Maintain accurate bookkeeping records, including journal entries, invoices, vendor bills, customer payments, and expenses.
- Complete bank and credit-card reconciliations and support accounts payable, accounts receivable,
and month-end closing.
- Prepare financial reports and maintain organized, confidential financial and tax records.
Required Qualifications
- 3–7 years of relevant experience, with a primary focus on US taxation or tax-compliance support and hands-on bookkeeping experience.
- Working knowledge of US federal and state tax processes, 1099 reporting, sales and use tax, and payroll tax documentation.
- Experience preparing tax-support schedules and coordinating with US accountants or CPA firms.
- Strong understanding of general ledger accounting, account reconciliation, accounts payable, and accounts receivable.
- Proficiency with QuickBooks, Xero, Sage, NetSuite, or similar accounting software.
- Solid Microsoft Excel skills, attention to detail, and ability to manage deadlines.
- Professional communication skills and sound judgment when handling confidential information.
Preferred Qualifications
- Bachelor’s degree in Accounting, Finance, Commerce, or a related field.
- Experience supporting US CPA firms or multiple US clients.
- Familiarity with US tax-preparation software and multi-state tax-compliance support.
- Relevant US taxation, accounting, or QuickBooks certification.
