Submission Specialist - Roles & Responsibilities

Role: As a Submission Specialist, Promotional Content, you will play a crucial role in ensuring the timely and accurate submission of healthcare marketing materials to regulatory authorities. Your strong organizational skills, attention to detail, and understanding of life sciences will be essential in this fast-paced agency environment.

Responsibilities

- Manage end-to-end submission activities for promotional and healthcare marketing materials, ensuring timely and accurate submission through designated review and approval platforms
- Ensure required documents and materials are correctly uploaded into platforms such as Veeva Vault, FUSE, Aprimo, or other relevant systems.
- Review and validate submission metadata to ensure it is accurate, complete, and aligned with submission requirements.
- Perform pre-submission checks for spelling, grammar, brand accuracy, and completeness of the material.
- Verify that required updates and changes have been incorporated based on MLR comments.
- Add appropriate annotations and submission-related information to ensure clarity and completeness for reviewers.
- Apply relevant submission and regulatory requirements to support compliant submission of materials.
- Monitor project timelines and proactively identify and communicate potential risks, delays, or issues.
- Coordinate with project managers and cross-functional stakeholders to ensure efficient submission workflows.
- Review relevant source materials, as needed,



to support submission quality checks and verify content consistency.

Qualifications:

- Degree in Life Sciences (e.g., Biology, Chemistry, Pharmacology) or 3+ years equivalent industry experience
- Experience working in healthcare or pharmaceutical communications/marketing
- Ability to read, interpret, and analyze medical literature
- Familiarity with health authority regulations (e.g., FDA, ABPI, etc.)and other relevant regional and local guidelines
- Exceptional attention to detail and strong organizational skills
- Ability to work under pressure and meet tight deadlines in a fast-paced workplace
- Excellent communication and interpersonal skills
