Role Overview:
We are looking for a responsible, proactive, and student-focused Hostel Manager to oversee the day-to-day operations and overall experience of students living in TETR College of Business and Masters' Union residences.
The Hostel Manager will be responsible for ensuring that the hostel setting is safe, comfortable, well-maintained, and conducive to student life and learning.
The role will involve managing day-to-day hostel operations, ensuring the availability and quality of amenities, coordinating housekeeping and maintenance, addressing student concerns and grievances, managing vendors and service providers, and ensuring that students have a positive residential experience.
The ideal candidate will be highly approachable, organized, responsive, and capable of handling student concerns with maturity and empathy. The candidate should be comfortable managing both routine operations and unexpected situations while maintaining a high standard of service and discipline.
Key Responsibilities:
1. Day-to-Day Hostel Operations:
- Manage the overall day-to-day operations of the hostel and student residences.
- Ensure that all hostel facilities and services are functioning smoothly and efficiently.
- Conduct regular checks of common areas, rooms, dining areas, recreational spaces, and other residential facilities.
- Ensure that students have access to all essential amenities and services.
- Maintain high standards of cleanliness, hygiene, safety, and overall living conditions.
- Ensure smooth coordination between students, hostel staff, vendors, and internal teams.
- Maintain a strong on-ground presence and ensure operational issues are identified and resolved proactively.
2. Student Grievance & Issue Resolution:
- Act as the primary point of contact for students regarding hostel-related concerns and grievances.
- Listen to student concerns and ensure they are addressed promptly and professionally.
- Manage complaints related to accommodation, amenities, cleanliness, maintenance, food, internet, utilities, and other residential services.
- Establish a clear process for logging, tracking, escalating, and closing student complaints.
- Ensure that student grievances are resolved within defined timelines.
- Escalate serious or sensitive issues to the appropriate internal stakeholders.
- Maintain records of recurring issues and identify opportunities to improve hostel operations.
- Build a culture where students feel comfortable approaching the hostel team with concerns.
3. Amenities & Facilities Management:
- Ensure all hostel amenities and facilities are available and maintained to expected standards.
- Monitor essential services such as electricity, water, Wi-Fi, housekeeping, laundry, food services, and other residential requirements.
- Coordinate with maintenance teams to ensure timely resolution of repairs and facility-related issues.
- Conduct regular inspections to identify maintenance requirements proactively.
- Track facility-related complaints and ensure timely closure.
- Ensure common areas and student spaces remain clean, functional, and welcoming.
- Work with relevant teams to continuously improve the quality of hostel amenities.
4. Housekeeping & Maintenance:
- Manage and monitor housekeeping and maintenance services within the hostel.
- Coordinate with internal teams and external service providers for regular and preventive maintenance.
- Ensure housekeeping standards are consistently maintained across all residential areas.
- Monitor the quality and performance of housekeeping and maintenance vendors.
- Conduct regular audits and inspections of hostel facilities.
- Ensure urgent repairs and critical issues are addressed immediately.
- Maintain preventive maintenance schedules to minimize operational disruptions.
5. Food & Dining Operations:
- Coordinate with food and catering service providers, where applicable.
- Ensure food quality, hygiene, and service standards are maintained.
- Monitor student feedback regarding food and dining services.
- Address food-related concerns and coordinate with vendors for timely resolution.
- Ensure dining areas are clean, hygienic, and well-managed.
- Support the collection of student feedback to improve food and dining experiences.
6. Emergency & Crisis Management:
- Act as the first point of operational response during hostel emergencies.
- Coordinate with security, medical, maintenance, and other relevant teams during emergencies.
- Develop and maintain emergency response protocols.
- Ensure students are appropriately informed during critical situations.
- Maintain incident records and ensure appropriate escalation.
- Participate in emergency preparedness drills and safety reviews.
Ideal Candidate Profile:
- 3–7 years of experience in hostel management, student accommodation, hospitality, residential operations, facility management, or a related field.
- Experience managing student residences, hostels, hotels, serviced apartments, or similar environments.
- Strong customer service and student-facing experience.
- Excellent interpersonal and communication skills.
