The Deputy Chief of Staff is a high-trust, high-visibility role in the CEO's office. You will work alongside the Chief of Staff to run the operating rhythm of the company, drive cross-functional programs, and make sure leadership and the Board always have accurate, decision-ready information.
The role suits someone who combines strong analytical judgment with execution discipline, and who is equally comfortable building a financial model, chasing a milestone across five teams, and presenting to a founder who has just joined through an acquisition.
Key Responsibilities
CEO office operations and executive support
- Support the CEO in running the leadership operating system, including weekly business reviews, monthly and quarterly reviews, and annual planning cycles.
- Prepare briefing notes, talking points, and data packs for the CEO's internal and external meetings.
- Track decisions, commitments, and follow-ups from leadership forums and make sure they close on time.
- Act as a trusted sounding board and escalation point, filtering and prioritizing what reaches the CEO.
Board and investor reporting
- Coordinate end-to-end preparation of Board decks, including collating inputs from the CFO, COO, CRO, and business heads.
- Set timelines, review submissions for accuracy and consistency, and shape the narrative so the deck is concise and insight-led.
- Maintain Board calendars, pre-reads, action-item trackers, and follow-up communication.
- Support investor updates, lender or auditor requests, and other stakeholder reporting as needed.
Program and PMO leadership
- Own the PMO for CEO-sponsored strategic initiatives, such as margin improvement, new market entry, pricing, org redesign, and cost programs.
- Define scope, milestones, owners, dependencies, risks, and KPIs, and run structured governance with clear dashboards and RAG status reporting.
- Flag slippage and risks early, and drive course correction with the initiative owners.
M&A; integration and acquired-company enablement
- Work with founders and leaders of acquired companies to onboard them into Mediamint's reporting cadence, governance, and planning processes.
- Support post-merger integration (PMI) tracking, including synergy realization, cross-sell pipelines, and people, finance, and systems integration milestones.
- Serve as a neutral, credible point of contact between acquired-company leadership and the CEO's office.
Business analysis and financial insight
- Analyze revenue, margin, utilization, pipeline, client concentration, and cost data to surface trends, risks, and opportunities.
- Build and maintain financial and business models to support planning, scenario analysis, pricing decisions, and investment cases.
- Partner with Finance, Sales Ops, and Delivery to keep one consistent view of the numbers across leadership and Board reporting.
Strategy and special projects
- Lead structured, hypothesis-driven analyses on market, competitor, and client questions from the CEO.
- Support strategic planning, OKR or goal-setting, and executive offsites.
- Take on ad hoc, high-priority projects across functions as they arise.
Qualifications
Education
- MBA or PGDM from a Tier 1 B-school (for example IIM A/B/C/L/I/K, ISB, XLRI, FMS, SPJIMR, MDI, or an equivalent global program). A strong undergraduate background in engineering, commerce, economics, or a similar field is preferred.
Experience
- About 5 years of experience in the services industry (IT/ITeS, digital, media or advertising services, consulting, or BPO).
- Prior experience as a Chief of Staff, or in a role supporting the CFO or CEO office, with direct exposure to senior leadership.
- Experience across a mix of high-growth startups or scale-ups and large global services organizations (2,000+ employees, multiple geographies) is strongly preferred.
- Exposure to M&A;, integration, or managing acquired businesses is a significant advantage.
Skills and competencies
- Analytical strength: Structured problem-solving, quantitative rigor, and the ability to turn messy data into clear recommendations.
- PMO expertise: Proven ability to run complex, multi-stakeholder programs with discipline on timelines, risks, and governance.
- Financial and business acumen: Comfort with P&L;, unit economics, revenue and margin drivers, budgeting and forecasting, and services-industry metrics (utilization, realization, pyramid, billing models).
- Executive communication: Excellent written and verbal skills, including concise executive decks and storytelling suited to the Board.
- Stakeholder influence: Ability to drive outcomes without formal authority, and to work credibly with C-suite leaders and founders.
- Tools: Advanced Excel and PowerPoint. Working knowledge of BI tools (Power BI, Tableau) and project tools (Jira, Asana, Smartsheet, MS Project) is a plus.
- Judgment and discretion: Handles confidential information with integrity and good sense.
Personal Attributes
- Ownership-driven, with a bias for action and follow-through
- Calm under pressure, and comfortable with ambiguity
- Detail-oriented while keeping the bigger picture in view
- Collaborative and humble, with a strong appetite to learn and grow into a Chief of Staff or business leadership role
What Success Looks Like in the First 12 Months
- Board and leadership review materials are delivered on time, accurate, and insight-led, with minimal rework from the CEO.
- Strategic initiatives run on a explicit PMO cadence with visible progress and early risk flags.
- Acquired companies are integrated into the operating and reporting rhythm.
- The CEO and the Chief of Staff rely on you as a trusted, independent owner of key workstreams.
