Your responsibilities:
QEHS Document Control
- Maintain and control QEHS documentation, including SOPs, procedures, work instructions, forms, and system documents.
- Ensure proper revision control, document updates, version management, and document availability.
- Support periodic review and updating of controlled documents.
- Maintain appropriate records and documentation for audit readiness.
2. Internal Audits – QEHS & 5S
- Coordinate and support the internal audit schedule.
- Assist internal auditors and auditees in planning and executing audits.
- Follow up on audit findings and ensure proper documentation of observations and non-conformities.
- Track audit findings and follow up with respective stakeholders for timely closure of non-conformities (NCs).
- Support 5S audit activities and maintain relevant records.
3. External Audits & Certifications
- Provide support during external audits, customer audits, and certification audits.
- Coordinate with various departments to ensure documentation and records are available for audit readiness.
- Support preparation of audit-related documents and evidence.
- Track Corrective Action Requests (CARs) raised during audits and follow up for timely closure.
- Maintain records related to audit observations, corrective actions, and closures.
4. KPI Monitoring & Follow-up
- Collect relevant QEHS and departmental KPIs from respective stakeholders.
- Consolidate and maintain KPI data and reports.
- Assist in monitoring KPI trends and identifying deviations.
- Support periodic KPI review meetings and follow-up actions.
5. Customer Complaint Follow-up
- Prepare Minutes of Meeting (MOM) for customer complaint review meetings.
- Coordinate with the Cross-Functional Team (CFT) to track action items.
- Follow up with stakeholders on corrective and preventive actions.
- Consolidate open points and provide status updates for customer complaint review meetings.
- Maintain appropriate records of complaint-related actions and closures.
6. Suggestions & Continuous Improvement
- Record improvement suggestions received from Cross-Functional Teams (CFTs).
- Track the progress and status of suggestions and continual improvement initiatives.
- Coordinate with respective stakeholders for implementation updates.
- Track and document the effectiveness of implemented improvements.
- Support initiatives related to quality improvement, waste reduction, process improvement, and workplace organization.
Required profile:
- Basic knowledge of Integrated Management System (IMS) standards:
- ISO 9001 – Quality Management System
- ISO 14001 – Environmental Management System
- ISO 45001 – Occupational Health & Safety Management System
- Knowledge of Internal Audit practices and preferably certified/trained as an IMS Internal Auditor.
- Good documentation and record management skills.
- Robust organizational and coordination skills.
- Good written and verbal communication skills.
- Ability to work effectively with cross-functional teams.
- Good follow-up and task-tracking capabilities.
- Basic analytical and reporting skills.
- Proficiency in MS Office / Microsoft Excel / Power Point will be an added advantage.
- Strong attention to detail and willingness to learn.
