We are looking for a highly organized, proactive, and trustworthy Executive Assistant to the CEO / Founder to help manage the CEO's day-to-day operations and ensure nothing falls through the cracks.
You will be the CEO's right hand and a trusted point of contact for employees, customers, partners, investors, and other senior stakeholders.
This is a high-trust role for someone who is calm under pressure, extremely organized, discreet with confidential information, and comfortable working independently in a rapid-moving company.
This role requires working U.S. Pacific Time (PST/PDT) hours to provide direct support to the CEO and coordinate with our U.S.-based team, customers, partners, and investors.
What You'll DoCalendar & Time Management
- Own and manage the CEO's calendar and schedule.
- Prioritize meetings and protect the CEO's time.
- Coordinate internal and external meetings across multiple time zones.
- Resolve scheduling conflicts and proactively identify upcoming priorities.
Travel & Logistics
- Plan and coordinate domestic and international travel.
- Book flights, hotels, ground transportation, and conference arrangements.
- Prepare detailed travel itineraries.
- Coordinate visas, travel documents, and other logistics.
- Handle last-minute travel changes when needed.
Inbox & Communications
- Monitor and organize the CEO's inbox.
- Triage incoming emails and identify priorities.
- Draft responses and follow-ups on behalf of the CEO.
- Make sure important and time-sensitive items are followed through to completion.
- Maintain professional communication with customers, partners, investors, and other stakeholders.
Meeting & Executive Support
- Prepare agendas, briefing materials, and background information for important meetings.
- Take meeting notes and track action items.
- Follow up with owners to ensure commitments are completed.
- Help the CEO prepare for customer, partner, investor, board, and leadership meetings.
Board & Investor Support
- Coordinate board meetings and related logistics.
- Support investor meetings, fundraising activities, and investor communications.
- Coordinate with finance and leadership teams to gather required information and materials.
- Handle sensitive and confidential information with complete discretion.
Administrative Operations
- Manage expenses and expense reports.
- Coordinate vendor paperwork, contracts, and administrative documents.
- Maintain organized digital files and records.
- Help manage subscriptions, tools, and other administrative needs.
Events & Company Activities
- Support planning of company offsites, team events, conferences, and site visits.
- Coordinate the CEO's speaking engagements and external events.
- Manage event logistics and schedules.
Personal Support
- Assist the CEO with occasional personal scheduling and errands when needed.
- Help coordinate personal appointments, travel, and other logistics.
- Be comfortable handling both professional and personal requests with discretion.
Special Projects
- Take ownership of ad-hoc projects that require research, coordination, organization, or follow-through.
- Help the CEO turn ideas and priorities into completed tasks.
- Step into whatever operational gaps need attention as the company grows.
What We're Looking ForRequired
- 2+ years of experience supporting a CEO, Founder,
C-suite executive, or senior leader as an Executive Assistant or Personal Assistant.
- Excellent organizational and time-management skills.
- Strong written and verbal communication in English.
- Ability to manage multiple priorities and changing schedules without losing track of details.
- Strong judgment and complete discretion with confidential information.
- Comfortable working independently without constant supervision.
- Strong attention to detail and follow-through.
- Experience with Google Workspace or Microsoft 365, Zoom, and travel/expense management tools.
- Comfortable working U.S. Pacific Time (PST/PDT) hours.
- Professional, calm, proactive, and service-oriented approach.
Nice to Have
- Experience supporting a startup founder or CEO.
- Experience working with U.S.-based companies or teams.
- Experience coordinating board meetings or investor/fundraising activities.
- Experience in biotech, pharma, life sciences, technology, or another fast-growing industry.
- Familiarity with Notion, Slack, Expensify, Carta, DocuSign, or similar tools.
- Bachelor's degree or equivalent professional experience.

Pay: ₹200,000.00 - ₹400,000.00 per year
