Role Overview
We are looking for a proactive and well-organised Senior HR & Admin Associate to manage recruitment, employee coordination and office administration.
The role requires someone who is approachable, confident in dealing with people and comfortable managing multiple responsibilities independently. The person will work closely with employees, department managers, candidates, payroll partners and office vendors.
Key Responsibilities
1. Recruitment and Hiring
- Understand manpower requirements and job specifications from department managers.
- Post vacancies and source candidates through Naukri, Indeed, LinkedIn, employee referrals and other relevant channels.
- Screen résumés and conduct initial telephonic or online interviews.
- Coordinate interviews, assessments and selection discussions with hiring managers.
- Maintain accurate candidate records in the recruitment tracker.
- Follow up with shortlisted candidates and coordinate offer documentation and joining formalities.
- Build and maintain a pipeline of suitable candidates for recurring roles.
- Track recruitment metrics such as vacancies, applications, interviews, offers and joining ratios.
- Continuously improve sourcing and selection practices.
2. Employee Lifecycle Management
- Manage pre-joining documentation, onboarding, induction and orientation.
- Ensure that new employees receive the necessary policies, access, equipment and organisational information.
- Maintain complete and accurate employee records, both physical and digital.
- Track attendance, leave, probation, confirmation and employee documentation.
- Coordinate with the payroll team and resolve attendance, salary or payroll-related queries.
- Prepare offer letters, appointment letters, confirmation letters, experience letters and other HR documents.
- Coordinate resignation, clearance and exit formalities.
- Maintain confidentiality of employee and company information.
3. Employee Engagement and Support
- Act as an approachable first point of contact for routine employee queries.
- Plan and coordinate employee-engagement activities, celebrations and internal events.
- Support initiatives related to employee recognition, communication and workplace culture.
- Assist managers with routine employee concerns and escalate sensitive matters appropriately.
- Collect employee feedback and identify opportunities to improve the workplace experience.
- Communicate HR policies and administrative processes clearly to employees.
4. HR Coordination and Reporting
- Maintain updated HR trackers, employee databases and personnel files.
- Prepare periodic reports on headcount, recruitment, attendance, attrition and other HR activities.
- Follow up on probation reviews, confirmations and required employee documentation.
- Support the implementation and administration of company HR policies.
- Ensure HR records and processes are accurate, organised and completed on time.
5. Office Administration
- Oversee the upkeep and day-to-day functioning of the office premises.
- Coordinate with housekeeping, security, internet, maintenance and other office vendors.
- Maintain office supplies, stationery and inventory records.
- Manage the allocation, tracking and return of laptops, accessories, petrol cards and other company assets.
- Coordinate CCTV, internet and basic office-infrastructure requirements.
- Process office bills and maintain proper supporting documentation.
- Manage petty cash and submit accurate expense records.
- Coordinate repairs, servicing and annual maintenance requirements.
- Ensure that the office remains organised, safe and adequately stocked.

- Time taken to fill vacancies
- Offer-to-joining ratio
- Accuracy and completeness of employee records
- Timely completion of onboarding, payroll inputs and exit formalities
- Employee-query resolution time
- Timely completion of HR reports and trackers

Qualifications and Experience
- Graduate degree in Human Resources, Business Administration, Commerce or a related field.
- 2–4 years of relevant experience in HR operations, recruitment and office administration.
- Experience using job portals such as Naukri, Indeed and LinkedIn.
- Working knowledge of Microsoft Excel or Google Sheets.
- Familiarity with HRMS, payroll or attendance-management systems would be an advantage.
- Candidates should preferably live in or around Koramangala, or be able to commute reliably to the office every day.

CTC: ₹30,000 - 35000 per month
