Key Responsibilities
1. Export Documentation
- Prepare and manage complete export documentation including:
- Commercial Invoice
- Packing List
- Shipping Bill
- Bill of Lading / AWB
- Certificate of Origin
- Insurance documents
- MSDS / COO / Test reports (as required)
- Ensure documentation accuracy as per LC / Purchase Order / country regulations
- Coordinate with banks for:
- LC checking
- Negotiation documents
- Submission timelines
- Maintain proper export document records (physical + digital)
2. Logistics & Shipment Coordination
- Coordinate with CHA, freight forwarders, shipping lines, transporters
- Track shipments from factory to port and port to destination
- Plan container booking, stuffing schedules, and dispatch timelines
- Ensure on-time filing of shipping bills and sailing schedules
3. CHA & Billing Verification
- Verify CHA bills, freight invoices, port charges, CFS charges, detention/demurrage
- Cross-check bills against agreed rates and services
- Highlight discrepancies and coordinate corrections
- Maintain a cost sheet per shipment for management review
4. Compliance & Reporting
- Ensure compliance with DGFT, Customs, GST, and export regulations
- Track incentives like:
- Duty Drawback
- RoDTEP (if applicable)
- Coordinate for IGST refund documentation
- Maintain export MIS:
- Shipment status
- Pending documents
- Cost summaries
Required Skills & Knowledge
- Strong knowledge of export documentation & Incoterms
- Familiar with Customs procedures & CHA coordination
- Experience dealing with banks and LCs
- Good command over Excel (tracking sheets, cost calculations)
- Attention to detail (critical for bills & compliance)
- Clear communication with internal team & external agents
Preferred Profile
- Background in chemicals / dyes / textiles exports
- Prior experience handling multiple shipments per month
- Comfortable chasing follow-ups and resolving last-minute issues
