Job Description – Librarian
Designation: Librarian
Department: Library

Reporting To: Principal / Director / Academic Head
Job Summary
The Librarian will be responsible for the overall management and smooth functioning of the college library, ensuring that students, faculty, and staff have timely access to relevant academic resources, reference materials, digital resources, and research support. The role involves library administration, resource management, student support, and maintaining proper records and documentation.
Key Roles & Responsibilities
1. Library Administration
- Manage the day-to-day operations of the college library.
- Ensure the library is maintained in a clean, organized, and student-friendly workplace.
- Develop and implement library procedures in line with institutional requirements.
- Maintain discipline and ensure proper utilization of library facilities.
2. Collection & Resource Management
- Manage books, journals, magazines, newspapers, reference materials, and other academic resources.
- Identify and recommend books and resources relevant to MBA programmes and curriculum requirements.
- Coordinate the procurement of new books and other learning resources.
- Conduct regular stock verification and maintain accurate inventory records.
- Identify damaged, outdated, or missing resources and take appropriate action.
3. Library Records & Documentation
- Maintain records of books, journals, subscriptions, memberships, issue/return transactions, and other library assets.
- Maintain proper documentation for audits, accreditation, and institutional requirements.
- Prepare periodic reports on library usage, collections, subscriptions, and other activities.
4. Student & Faculty Support
- Assist students and faculty in locating books, journals, research materials, and other academic resources.
- Provide guidance on the effective use of library resources and databases.
- Support students in accessing reference materials for assignments, projects, case studies, and research.
- Assist faculty members in identifying relevant teaching and research resources.
5. Digital Library & Database Management
- Manage digital library resources, e-books, e-journals, online databases, and institutional subscriptions.
- Ensure timely renewal of digital resources and subscriptions.
- Provide basic guidance to users on accessing online academic resources.
- Coordinate with IT teams or vendors for library software and digital resource-related issues.
6. Circulation & Membership
- Manage the issue, return, renewal, and reservation of library materials.
- Maintain student and faculty library membership records.
- Monitor overdue books and follow up for timely returns.
- Ensure proper handling and preservation of library resources.
7. Academic & Research Support
- Support students and faculty with research and reference requirements.
- Assist in accessing journals, databases, case studies, business reports, and other management-related resources.
- Support academic departments during project, dissertation, and research activities.
- Promote effective use of library resources among students.
8. Accreditation & Compliance Support
- Maintain library-related records and data required for institutional audits and accreditation processes.
- Provide required library statistics and supporting documents for NAAC, NBA, university, and other regulatory requirements, as applicable.
- Ensure records are updated and readily available for inspections and audits.
9. Library Activities & Student Engagement
- Conduct library orientation programmes for new students.
- Promote reading, research, and effective utilization of library resources.
- Organize book displays, reading initiatives, author interactions, and other library-related activities where required.

Qualification & Experience
- Qualification: Master's Degree in Library & Information Science (MLIS/MLISc) or equivalent.
- Experience: 3–5 years of relevant experience in a college, university, business school, or higher education institution.
- Experience in managing digital libraries and library management software is preferred.
- Familiarity with academic databases, e-journals, and research resources is desirable.
