We are looking for a detail-oriented Documentation Executive to handle shipping and logistics documentation and coordinate with customers, shipping lines, airlines, transporters, customs brokers, and internal teams to ensure smooth movement of shipments.
Key Responsibilities
- Prepare and verify import/export shipping documentation.
- Handle documentation related to Sea Freight and Air Freight shipments.
- Prepare and coordinate Bill of Lading (BL), Air Waybill (AWB), Commercial Invoice, Packing List, Shipping Bill, Bill of Entry, and other relevant documents.
- Coordinate with shipping lines, airlines, CHA/customs brokers, transporters, and customers.
- Ensure documentation is accurate and submitted within required timelines.
- Track shipment documentation and follow up on pending requirements.
- Coordinate with the operations team for shipment updates and document submission.
- Maintain proper records of shipment and customer documentation.
- Check documents for discrepancies and coordinate corrections where required.
- Assist with customs clearance and other regulatory documentation.
- Update shipment details in internal systems and maintain documentation trackers.
- Handle customer queries related to shipment and documentation status.
- Ensure proper filing and archiving of physical and electronic documents.
Required Skills
- Good understanding of Freight Forwarding and Logistics documentation.
- Knowledge of Import & Export processes.
- Familiarity with Sea Freight / Air Freight documentation.
- Good knowledge of MS Office, particularly Excel and Word.
- Robust attention to detail and accuracy.
- Good communication and coordination skills.
- Strong follow-up and time-management skills.
- Ability to work under deadlines and manage multiple shipments simultaneously.
