Human Resource Manager & Office Administrator

About the Role

We are looking for a responsible, organized, and people-oriented Human Resource Manager & Office Administrator to manage day-to-day HR operations as well as office administration.

The ideal candidate will be responsible for recruitment, employee onboarding, attendance and leave management, employee relations, HR documentation, payroll coordination, office administration, vendor coordination, and maintaining a professional workplace environment.

The candidate should be comfortable working in a fast-paced software company and coordinating with management, technical teams, employees, vendors, and external stakeholders.

Key ResponsibilitiesHuman Resources

- Manage the complete employee lifecycle from recruitment to exit.
- Handle end-to-end recruitment for technical and non-technical positions.
- Source candidates through Indeed, LinkedIn, Naukri, referrals, recruitment agencies, and other channels.
- Screen resumes and conduct initial HR interviews.
- Coordinate technical interviews with development and management teams.
- Prepare and issue offer letters, appointment letters, employment agreements, NDAs, and other HR documents.
- Conduct employee onboarding, induction, and joining formalities.
- Maintain employee personal files and HR records.
- Manage attendance, leave, holidays, and employee documentation.
- Coordinate monthly payroll inputs with the accounts/finance team.
- Manage probation, confirmation, performance reviews, and employee appraisal processes.
- Handle employee grievances and workplace-related concerns.
- Support employee engagement and retention initiatives.
- Manage resignation, notice period, clearance, exit interviews, and full & final settlement coordination.
- Maintain confidentiality of employee and company information.
- Implement and maintain HR policies, procedures, and company rules.
- Ensure HR processes comply with applicable employment laws and company policies.

Technical Recruitment





- Understand staffing requirements for software development projects.
- Recruit software developers and technical professionals.
- Coordinate hiring for positions such as .NET/C# Developers, React/Next.js Developers, Mobile App Developers, QA Engineers, UI/UX Designers, Project Managers, Business Analysts, and other IT roles.
- Maintain a database and pipeline of suitable technical candidates.
- Coordinate interviews and follow up with candidates throughout the hiring process.

Office Administration

- Manage the day-to-day administrative operations of the office.
- Ensure the office is clean, organized, safe, and properly maintained.
- Coordinate with housekeeping, maintenance, internet, electricity, security, and other service providers.
- Manage office supplies, stationery, equipment, pantry requirements, and other administrative materials.
- Maintain records of office assets and equipment.
- Coordinate procurement of office supplies and services.
- Handle vendor communication, quotations, invoices, and follow-ups.
- Coordinate office repairs, maintenance, and facility-related requirements.
- Manage courier, dispatch, incoming/outgoing documents, and general correspondence.
- Assist management with meetings, events, employee activities, and other administrative requirements.
- Ensure visitors, clients, candidates, and vendors are received professionally.
- Maintain proper office documentation and administrative records.

Management Support

- Act as a coordination point between management and employees for HR and administrative matters.
- Prepare HR and administrative reports/MIS as required.
- Assist management in implementing company policies and procedures.
- Support management in maintaining discipline, professionalism, punctuality,



and workplace standards.
- Handle confidential company and employee information responsibly.
- Take ownership of assigned HR and administrative tasks and ensure timely completion.

Required Qualifications

- Bachelor's or Master's degree in Human Resources, Business Administration, or a related field.
- 1–3 years of experience in HR, administration, or a similar role.
- Experience in an IT/software company is preferred.
- Strong knowledge of recruitment and employee lifecycle management.
- Good understanding of office administration and vendor management.
- Good knowledge of MS Office/Google Workspace.
- Strong communication and interpersonal skills.
- Excellent organizational and coordination abilities.
- Ability to multitask and manage priorities effectively.
- Skilled attitude and strong follow-up skills.
- Ability to maintain confidentiality.

Preferred Skills

- Experience with technical recruitment.
- Knowledge of HRMS, recruitment portals, and attendance/leave management systems.
- Basic understanding of Indian HR and employment compliance.
- Good documentation and report preparation skills.
- Strong negotiation and problem-solving abilities.
- Ability to independently manage HR and office administration functions.

Salary: Competitive and based on experience, skills, and suitability for the role.
