PROJECT MANAGER – SITE OPERATIONS, MATERIALS & VENDOR MANAGEMENT

ROLE OVERVIEW
We are looking for an experienced Project Manager – Site Operations, Materials & Vendor Management to take end-to-end ownership of site operations, construction activities, material management, procurement coordination, vendor management and quality control.
This is a hands-on project ownership role for a professional who can independently manage site operations, coordinate multiple stakeholders, ensure material availability, drive vendor performance and maintain construction quality and timelines.
The role requires solid civil construction knowledge combined with material and purchase management capabilities. The ideal candidate should be comfortable taking ownership of site requirements, coordinating material deliveries, managing vendors and contractors, resolving execution challenges and ensuring the site remains operational and project-ready.
The position requires strong site presence and operational flexibility, including coordination and supervision of critical material deliveries outside standard working hours whenever required by project schedules.
KEY RESPONSIBILITIES1. Project & Site Operations
- Take overall ownership of day-to-day site operations and project execution.
- Plan, coordinate and monitor construction activities to ensure timely completion.
- Ensure site activities are executed as per approved drawings, specifications, schedules and quality standards.
- Coordinate manpower, materials, equipment, contractors and other site resources.
- Monitor project progress and identify delays, bottlenecks and execution risks.
- Resolve site-level technical and operational issues proactively.
- Ensure the site remains ready for ongoing construction and upcoming project activities.
- Coordinate with internal teams and external stakeholders for smooth project execution.
- Maintain regular site reports, progress updates and project documentation.
2. Material Management
- Take ownership of end-to-end material management at site.
- Plan material requirements based on project schedules and upcoming activities.
- Coordinate timely procurement and delivery of construction and project materials.
- Track material requirements, availability, delivery schedules and consumption.
- Coordinate with vendors and suppliers to ensure materials reach the site as planned.
- Inspect incoming materials for quantity, specifications and basic quality compliance.
- Ensure proper material receiving, handling, storage and movement within the site.
- Monitor material consumption and minimize wastage, shortages and unnecessary inventory.
- Coordinate urgent material requirements and ensure timely availability at site.
- Maintain appropriate material records and documentation.
3. Purchase & Procurement Coordination
- Manage and coordinate purchase requirements for project/site operations.
- Identify material and service requirements in coordination with the project team.
- Coordinate with suppliers and vendors for quotations, availability, rates and delivery schedules.
- Evaluate quotations and support commercial comparison and vendor selection.
- Negotiate with vendors/suppliers to achieve competitive pricing and timely delivery.
- Coordinate purchase orders and ensure materials are procured as per project requirements.
- Follow up with vendors on order status, dispatch and delivery.
- Resolve purchase and delivery-related issues proactively.
- Ensure procurement activities are aligned with project timelines and budgets.

Vendor & Contractor Management
- Manage the complete vendor and contractor ecosystem for site operations.
- Identify and coordinate with reliable suppliers, contractors and service providers.
- Monitor vendor performance, quality, timelines and service delivery.
- Coordinate with contractors regarding manpower, materials, execution and schedules.
- Negotiate rates and commercial terms wherever required.
- Resolve vendor-related issues and escalations.
- Ensure vendors and contractors comply with project requirements and quality standards.
- Maintain strong professional relationships with vendors and service providers.
5. Civil Construction & Technical Supervision
- Provide technical supervision for civil construction and related site activities.
- Review and understand construction drawings, BOQs, specifications and execution requirements.
- Monitor civil works including structural, masonry, flooring, finishing and other construction activities as applicable.
- Verify measurements, quantities and execution against approved requirements.
- Identify technical issues at site and coordinate appropriate resolutions.
- Coordinate with contractors, consultants and other technical stakeholders.
- Ensure construction activities comply with approved drawings and specifications.
- Provide practical technical guidance to site teams wherever required.
6. Quality Control
- Ensure quality standards are maintained across all site and construction activities.
- Inspect workmanship and incoming materials against approved specifications.
- Identify quality deviations and ensure corrective action.
- Coordinate with contractors/vendors to resolve quality issues.
- Ensure proper documentation of inspections, observations and corrective actions.
- Maintain consistent quality standards throughout project execution.
- Support final inspections, snag closure and project handover activities.
7. Project Planning & Cost Control
- Prepare and monitor site execution plans and activity schedules.
- Coordinate material, manpower and vendor requirements with project timelines.
- Monitor project costs and identify opportunities for cost optimization.
- Track project requirements, variations and additional material/service needs.
- Ensure efficient utilization of manpower, materials and other resources.
- Escalate significant cost, schedule or resource risks to management.
8. Stakeholder & Communication Management
- Act as a key point of contact for site-related coordination.
- Coordinate effectively with management, vendors, contractors, consultants and internal teams.
- Handle site-related discussions and resolve operational issues professionally.
- Maintain clear and timely communication regarding project progress, requirements and challenges.
- Coordinate future site requirements, bookings, deliveries and related operational activities.
- Ensure all stakeholders receive accurate information and timely updates.
9. Site Readiness & Material Delivery Coordination
- Ensure the site is prepared to receive and store incoming materials.
- Coordinate material delivery schedules with vendors and project teams.
- Supervise critical deliveries whenever required based on project schedules.
- Be available for late-evening/night or midnight material deliveries when operationally required.
- Verify delivered materials and coordinate their movement to the appropriate site/storage location.
- Ensure urgent material requirements are handled without disrupting project execution.
REQUIRED QUALIFICATIONS & EXPERIENCE
- 8+ years of relevant experience in construction, project execution, site operations, civil engineering, infrastructure, real estate, commercial construction, interior fit-out or related sectors.
- Diploma/B.Tech/B.E. in Civil Engineering or a relevant technical discipline.
- Strong hands-on experience in civil construction and site execution.
- Proven experience in material management and procurement/purchase coordination.
- Strong experience in vendor and contractor management.
- Experience in construction material sourcing, supplier coordination and delivery management.
- Robust understanding of construction quality standards and site inspection.
- Experience managing multiple site activities, resources and stakeholders.
- Strong commercial awareness and negotiation skills.
- Good knowledge of construction drawings, BOQs, measurements and specifications.
- Strong communication and coordination skills.
- Ability to independently handle site-level decisions and operational challenges.

IMPORTANT ROLE REQUIREMENT
This is a site-driven Project Manager role and requires strong physical presence at the project site.
The successful candidate must be comfortable taking ownership of material deliveries, site operations, vendor coordination and project requirements outside standard working hours when operationally necessary, including late-night or midnight material arrivals.
Candidates whose experience is limited to desk-based project coordination, procurement support or purely administrative project management will not be suitable for this position.
