Executive Assistant to Director
Company: Devaki Neuropsychiatry Hospital

Job Summary
We are looking for a highly organised, responsible and proactive Executive Assistant to Director who can work closely with the Director and act as a dependable point of coordination across day-to-day business activities.
This is not a routine secretarial or desk-based role.
The selected candidate will gradually become the Director’s right-hand support, helping with follow-ups, staff coordination, communication, task execution, reporting, HR coordination and important business matters.
The role requires strong ownership, confidentiality, maturity and the ability to ensure that assigned work actually gets completed.
Key Responsibilities
- Manage the Director’s daily schedule, meetings, appointments and reminders.
- Maintain a clear daily and weekly priority list.
- Track tasks assigned by the Director to employees and departments.
- Follow up with staff and ensure timely closure of pending work.
- Maintain task trackers, pending-work lists and follow-up records.
- Coordinate calls, meetings and communication on behalf of the Director.
- Draft professional emails, letters, WhatsApp messages and other correspondence.
- Coordinate with hospital staff, vendors, consultants, agencies and other stakeholders.
- Assist the Director with HR-related coordination, interviews, joining formalities and staff follow-ups.
- Take Minutes of Meetings and track action points.
- Maintain important documents, quotations, agreements and records.
- Assist in project coordination and implementation of new initiatives.
- Obtain updates from different departments and present concise summaries to the Director.
- Support preparation and review of MIS reports, business reports and management information.
- Coordinate with Accounts, HR, Operations, Marketing and other functions when required.
- Follow up with vendors, contractors and service providers for pending work.
- Assist with travel arrangements, bookings and meeting coordination when required.
- Handle selected personal administrative tasks of the Director professionally and confidentially.
- Accompany or represent the Director for meetings, site visits or outside coordination whenever required.
- Identify delays, unresolved matters and operational issues and bring them to the Director’s attention.
- Gradually take ownership of routine coordination so that the Director can focus more on business growth and decision-making.
Candidate Profile
- Graduate or postgraduate in any relevant discipline.
- Previous experience as Executive Assistant, Personal Assistant, Executive Coordinator, Management Coordinator or similar role preferred.
- Strong communication skills in English, Hindi and Punjabi.
- Good working knowledge of Microsoft Office and Google Workspace.
- Comfortable with spreadsheets, email, WhatsApp and digital task tracking.
- Strong follow-up and organisational ability.
- Ability to handle multiple tasks without constant supervision.
- Comfortable working directly with senior management.
- Willing to occasionally travel locally or attend meetings outside the office when required.

Important
This position requires someone who is comfortable taking responsibility beyond traditional administrative work.
The role will progressively expand based on the candidate’s capability, reliability and understanding of the organisation.
The selected candidate will initially work from Devaki Neuropsychiatry Hospital, Amritsar, and will work closely with the Director on both hospital and management-related assignments.
Salary
₹20,000 per month
Salary will depend on experience, communication skills, maturity and ability to independently manage responsibilities.
