OB DESCRIPTION – ADMINISTRATION OFFICER
Position: Administration Officer
Department: Administration
Reports To: Management / General Manager
Location: Madurai
Job Summary
The Administration Officer is responsible for managing and coordinating the company's day-to-day administrative activities, maintaining proper records, ensuring smooth office operations, and supporting management in implementing company policies and procedures.
Key Roles & Responsibilities
1. Office Administration
- Manage the day-to-day administrative operations of the office.
- Ensure the office functions smoothly and efficiently.
- Coordinate office facilities, stationery, equipment, and other administrative requirements.
- Maintain proper office records, registers, files, and documents.
2. Staff Coordination
- Monitor employee attendance, punctuality, leave, and general discipline.
- Communicate management instructions, policies, notices, and announcements to staff.
- Coordinate with employees regarding administrative requirements and follow-ups.
- Assist in resolving routine staff-related administrative matters.
3. Documentation & Records
- Prepare official letters, notices, memos, warning letters, and other administrative documents.
- Maintain employee and company administrative records systematically.
- Ensure documents are properly filed and updated.
- Maintain confidentiality of company and employee information.
4. Management Support
- Assist management with administrative planning and daily operational requirements.
- Prepare administrative reports and updates as required.
- Coordinate meetings, maintain schedules, and ensure staff participation.
- Follow up on management instructions and ensure timely completion.
5. HR & Employee Administration
- Support employee joining and exit formalities.
- Coordinate collection and maintenance of employee documents.
- Maintain attendance and leave records.
- Assist HR in implementing company policies and procedures.
- Ensure employees follow proper communication and reporting procedures.
6. Inter-Department Coordination
- Coordinate with Accounts, HR, Architecture, Site, Marketing, and other departments.
- Ensure important information is communicated to the concerned team on time.
- Follow up on pending administrative requirements.
Required Skills
- Excellent communication and coordination skills.
- Good knowledge of MS Word, Excel, and email communication.
- Strong documentation and record-maintenance skills.
- Valuable follow-up and time-management abilities.
- Ability to handle confidential information responsibly.
- Strong organizational and problem-solving skills.
- Ability to communicate professionally with management and employees.
- Ability to handle multiple responsibilities independently.
Educational Qualification
Bachelor's Degree in any relevant discipline.
A qualification in Business Administration, Human Resources, Commerce, or Management will be an advantage.
Experience
2–3 years of experience in administration, office management, HR administration, or a similar position is preferred.

Pay: ₹10,000.00 - ₹17,000.00 per month
