About Us:
Thinkers’ Valley World School is a new school in Jaipur, founded by an established education family with a long-standing heritage in schooling in India. Set within a 20-acre campus, the School carries that heritage forward while rethinking education for a changing world, rooted in the character and culture of Jaipur, yet looking confidently to the future. The School will offer the Cambridge curriculum through an inquiry-led, project-based approach, balancing academic rigour with curiosity, creativity, reflection and real-world engagement. Job Summary:
We are looking for someone who is warm, qualified, organised and service-oriented, with excellent communication and interpersonal skills. The successful candidate will be confident managing multiple priorities, maintaining confidentiality, responding to people with care and professionalism, and creating a welcoming first impression of Thinkers Valley for students, parents, staff and visitors.
Key Responsibilities:
1.Visitor Access and Safeguarding
- Manage visitor sign-in, identification and access procedures in accordance with School policies.
- Coordinate visitor access with Security and relevant members of staff.
- Maintain accurate visitor records and ensure appropriate access protocols are followed.
- Support the safe and orderly arrival and departure of students, parents, staff and visitors.
- Respond appropriately to unexpected visitors, incidents or safeguarding concerns, escalating matters to the appropriate member of staff.
- Maintain confidentiality and exercise discretion when handling sensitive information.
2. Transport, Security and Support Services
- Oversee the School’s transport services, ensuring they are safe, reliable, efficient and responsive to the needs of students and families.
- Coordinate campus security and access-control arrangements in partnership with relevant providers and School leaders.
- Ensure appropriate procedures are in place for emergencies, incidents, visitor management and campus access.
- Oversee housekeeping, catering, and other support services to ensure consistently high standards.
- Monitor service performance and continuously identify opportunities for improvement
3. Administration and Communication
- Provide day-to-day administrative support to the School Office team and School leadership as required.
- Assist with correspondence, document preparation, filing, data entry and general office administration.
- Maintain accurate records and ensure information is organised and readily accessible.
- Support the coordination of appointments, meetings and communications across the School.
- Assist with administrative processes relating to students, parents, staff and external service providers.
- Monitor office supplies and coordinate replenishment where required.
- Ensure routine reception and administrative procedures are followed consistently.
4. School Events and Campus Readiness
- Support the operational and hospitality requirements of Open Days, parent meetings, celebrations, staff events and other School activities.
- Ensure reception, meeting areas and visitor-facing spaces are appropriately prepared for events.
- Assist with guest registration, wayfinding and visitor coordination during major School events.
- Work with the wider School Office and Administration teams to ensure a smooth and qualified experience for families and guests.
5. Service and School Experience
- Act as a positive ambassador for Thinkers Valley in all interactions with students, families, colleagues and visitors.
- Maintain high standards of professionalism, presentation, responsiveness and confidentiality.
- Build positive relationships across the School and contribute to a culture of service and hospitality.
- Identify opportunities to improve reception,
hospitality and administrative processes.
- Respond promptly and professionally to enquiries, requests and concerns, ensuring issues are appropriately followed through.
Success will be measured through both service quality and operational effectiveness, including:
- A warm, professional and welcoming reception experience.
- Efficient and well-organised front-office operations.
- High standards of hospitality and visitor experience.
- Effective and secure visitor access procedures.
- Accurate, timely and confidential administration.
- Positive relationships with students, parents, staff and visitors.
- Prompt and professional handling of enquiries and requests.
- Well-prepared reception and visitor areas.
- Effective support for School meetings, events and activities.
- Contribution to a distinctive, professional and high-quality Thinkers Valley experience.
Qualification:
- Bachelor’s degree or diploma in Business Administration, Management, Hospitality, Communications, Education or a related field.
- Previous experience in reception, front-office administration, hospitality, customer service or a related role. Experience within a private, international or Cambridge school environment would be highly desirable, particularly experience in visitor management, parent and guest relations, administrative support and front-office operations.
- Language - Fluent in English and Hindi
