Selected Intern's Day-to-day Responsibilities Include
• Event Research and Intelligence
• Research venues, vendors, attendee profiles, and comparable events in the market.
• Build structured research outputs the team can act on: venue comparisons, speaker shortlists, attendee ICP analysis, and competitive event benchmarks.
• Ensure the team enters every planning cycle with the necessary information and insights.
• Vendor and Sponsor Coordination
• Own the logistics thread across vendors (AV, catering, venue ops, printing) and event sponsors.
• Draft and send coordination emails, track deliverables, follow up without being asked, and flag risks early.
• Act as the operational point of contact the team relies on to keep external parties moving.
• Outreach and Email Operations
• Draft and send outreach sequences for partner prospecting, speaker invitations, attendee communications, and post-event follow-ups.
• Work with existing templates and build recent ones as needed,
maintaining a balance between volume and quality.
• Project Management and Reporting
• Maintain the event project tracker across all open workstreams, including timelines, task ownership, vendor status, budget line items, and deadlines.
• Build post-event reports covering attendance, engagement, pipeline sourced, and key learnings.
• Ensure the team always has clear visibility into the status of ongoing work.
• Automation and Workflow Ops
• Build lightweight automations to eliminate repetitive coordination work, including email follow-up sequences, tracker updates, research pipelines, and status digests.
• Use Claude and other AI tools to build and improve workflows, rather than simply using them.
