Society Supervisor
Accounts & Financial Administration
- Maintain day-to-day society accounts and financial records.
- Collect monthly maintenance charges, dues, and other society payments from residents.
- Issue receipts and maintain proper records of all collections.
- Follow up with residents regarding pending or overdue payments.
- Maintain records of expenses, bills, vouchers, and payments made by the society.
- Prepare basic income and expense statements for management review.
- Coordinate with the society accountant, auditor, bank, or other financial professionals as required.
- Ensure all financial documents and records are properly filed and updated.
- Deposit collected funds into the society bank account as per the approved procedure.
2. Fee Collection & Resident Coordination
- Maintain an updated record of all flats/units and their payment status.
- Send reminders for outstanding maintenance fees and other dues.
- Respond to residents' queries related to payments, receipts, and society charges.
- Maintain confidentiality of residents' financial information.
- Ensure timely collection and reconciliation of monthly charges.
3. Housekeeping Supervision
- Supervise housekeeping staff and ensure proper cleaning of common areas.
- Monitor cleanliness of entrances, corridors, staircases, lifts, parking areas, and other common spaces.
- Prepare and monitor housekeeping schedules and daily duties.
- Check staff attendance, punctuality, grooming, and work performance.
- Ensure adequate availability and proper use of cleaning materials and equipment.
- Report housekeeping-related issues to the management committee and take corrective action as instructed.
4. Gardening & Landscaping
- Supervise gardeners and ensure regular maintenance of gardens and landscaped areas.
- Monitor watering, pruning, trimming, weeding, and general upkeep of plants.
- Ensure proper disposal of garden waste.
- Coordinate for purchase of plants, manure, gardening tools, and other required materials after approval.
- Report any damage, pest issues,
or landscaping requirements to the management.
5. Maintenance & Repairs
- Monitor the overall condition of the society's common facilities and infrastructure.
- Identify and report electrical, plumbing, civil, lift, water supply, drainage, security, and other maintenance issues.
- Coordinate with approved vendors, technicians, and contractors for repairs and maintenance.
- Follow up on complaints until the issue is resolved.
- Maintain records of maintenance complaints, work carried out, and pending repairs.
- Ensure routine and preventive maintenance activities are carried out on time.
- Obtain quotations where required and submit them to the management for approval.
6. Supervision of Staff & Vendors
- Supervise society staff, including housekeeping, gardening, security, and maintenance personnel, as applicable.
- Monitor attendance, punctuality, discipline, and work quality.
- Allocate duties and ensure that staff follow their assigned responsibilities.
- Coordinate with external agencies and service providers.
- Verify completion of work before reporting the matter as closed.
- Escalate repeated performance issues or misconduct to the management committee.
7. Official & Administrative Work
- Handle day-to-day administrative work of the society.
- Maintain society records, registers, documents, correspondence, and files.
- Draft and issue notices, circulars, reminders, and other official communications as instructed.
- Coordinate with government departments, municipal authorities, utility providers, banks, vendors, and other external agencies when required.
- Assist the management committee in preparing documents for meetings, audits, inspections, and official requirements.
- Maintain significant licenses, agreements, service contracts, and renewal records.
- Ensure important deadlines and renewals are tracked and brought to the management's attention.
8. Resident Complaints & Coordination
- Receive and record complaints and requests from residents.
- Coordinate with the concerned staff/vendor for resolution.
- Maintain a complaint register and monitor pending issues.
- Provide timely updates to residents wherever appropriate.
- Escalate unresolved or sensitive matters to the management committee.
9. Safety, Security & Common Facilities
- Conduct regular checks of common areas and report safety hazards.
- Ensure common facilities are maintained in a safe and usable condition.
- Monitor issues relating to lighting, water supply, cleanliness, access areas, parking, and other common facilities.
- Immediately report major breakdowns, accidents, security concerns, or emergencies to the management.
- Support the management in implementing society rules and safety procedures.
10. Reporting & Record Keeping
- Maintain daily/weekly records of activities, complaints, collections, maintenance work, and staff attendance.
- Submit periodic reports to the management committee as required.
- Maintain proper documentation of all official and financial transactions.
- Keep records organized and readily available for inspection, audit, or management review.
11. General Responsibilities
- Ensure smooth day-to-day functioning of the society.
- Maintain professional and courteous communication with residents, staff, vendors, and visitors.
- Protect the confidentiality of society and resident information.
- Follow instructions and policies approved by the management committee.
- Take initiative in identifying operational issues and suggest practical solutions.
- Perform any other society-related duties assigned by the Management Committee / Secretary / Chairman.
Pay: ₹9,100.00 - ₹33,000.00 per month
