1. Managing Committee & Governance Coordination

 Act as the primary coordination bridge between the Managing Committee of Seawoods

Grand Central Condominium Tower 2 and CBRE South Asia Pvt. Ltd., the

appointed Facility Management Company.

 Report to and work closely with the Working Managing Committee comprising the

Chairman, Secretary and Treasurer.

 Ensure timely implementation, follow-up and closure of decisions and resolutions

approved by the Managing Committee.

 Escalate important operational, financial, legal and administrative matters requiring

Committee attention or approval.

2. Overall Facility Operations

 Be responsible for the overall coordination, monitoring and administration of facility

operations at Tower 2.

 Ensure uninterrupted, efficient, protected and professional functioning of all building services.

 Coordinate with CBRE, service agencies, vendors, contractors and occupants to ensure

smooth day-to-day operations.

 Monitor operational standards and ensure timely closure of facility-related issues.

3. Technical & Building Maintenance

 Supervise the maintenance and functioning of electrical, HVAC, plumbing, civil,

mechanical and other building systems.

 Monitor the performance of the technical team and ensure timely resolution of

breakdowns and maintenance issues.

 Ensure proper maintenance of building equipment and infrastructure.

 Review recurring technical problems and ensure appropriate corrective measures.

4. Preventive Maintenance & Asset Management

 Monitor preventive maintenance schedules for all major equipment, utilities and building

systems.

 Ensure scheduled servicing, inspections and AMC activities are completed within

prescribed timelines.

 Maintain appropriate maintenance, equipment and service records.

 Monitor equipment condition and recommend repair, replacement or improvement

wherever required.

5. Fire, Life Safety & Emergency Management

 Ensure proper functioning and regular inspection of fire-fighting, fire alarm and life-

safety systems.

 Coordinate fire drills, emergency preparedness and safety inspections.

 Coordinate response to fire, power failure, water leakage, equipment breakdown and

other emergencies.

 Ensure incidents are properly recorded, escalated and followed by appropriate

corrective/preventive action.

6. Soft Services & Housekeeping Management

 Be responsible for the overall monitoring of Soft Services.

 Supervise housekeeping operations and ensure high standards of cleanliness, hygiene and

presentation.

 Monitor housekeeping manpower, attendance, deployment, discipline and service quality.

 Ensure deficiencies are identified and corrective action is taken promptly.

7. Security & Access Management

 Monitor overall security operations, access control, visitor management and surveillance

systems.

 Ensure established security procedures are followed.

 Monitor deployment and performance of Security Supervisors, Guards and Fire Marshal.

 Coordinate with CBRE/security agency on security deficiencies, incidents and corrective

actions.

8. Valet & Parking Management

 Monitor the complete Valet Services and parking operations.





 Ensure proper deployment and supervision of valet personnel.

 Ensure safe and orderly vehicle movement and parking.

 Coordinate Valet and Security teams to maintain smooth traffic and parking operations.

 Address parking-related concerns of Owners, Tenants and visitors.

9. Utility, Energy & Sustainability Management

 Monitor electricity, water, DG sets, lifts, pumps, chillers and other essential utilities.

 Monitor consumption and identify opportunities for efficient resource utilization.

 Implement measures to reduce avoidable energy and water wastage.

 Support waste management, recycling and other sustainability initiatives.

10. Vendor, Contractor & AMC Management

 Coordinate and monitor AMC vendors, contractors and external service providers.

 Ensure contractual obligations, service standards and timelines are adhered to.

 Review quotations, work orders, service reports and completion of approved works.

 Monitor recurring vendor deficiencies and ensure timely corrective action.

11. CBRE Performance & Service Delivery Monitoring

 Monitor CBRE's performance against the agreed scope of services and approved

manpower deployment.

 Coordinate with the CBRE Property Manager and respective Technical, Accounts &

Finance, Soft Services and Security teams.

 Review manpower shortages, service gaps and recurring deficiencies.

 Ensure corrective actions are followed up to closure.

 Provide performance-related feedback to the Managing Committee.

12. Accounts & Finance Management

 Coordinate the overall Accounts & Finance functions in close coordination with the

Accounts/Finance personnel appointed by CBRE.

 Monitor income, expenditure, accounting records, reconciliations, budgets and financial

reports.

 Coordinate with Mr. R. K. Mahapatra of M/s. Baweja & Kaul, Chartered

Accountants, appointed by the Managing Committee.

 Coordinate audit, accounting and other professional financial requirements.

 Ensure financial matters requiring Committee approval are presented in a timely manner.

13. Budget, Billing & Cost Control

 Assist in preparation and monitoring of the annual maintenance and facility-management

budget.

 Review quotations, service bills, work orders and expenditure against approved budgets.

 Monitor cost efficiency without compromising service quality, safety or statutory

requirements.

 Identify avoidable expenditure and opportunities for operational savings.

14. Statutory Compliance & Payment Management

 Monitor compliance with applicable statutory, regulatory, safety and operational

requirements.

 Maintain records of licences, certificates, inspections, renewals and statutory

documentation.

 Ensure timely payment of all statutory and non-statutory dues to authorities, agencies and

vendors.

 Maintain a payment calendar and ensure payments are released within prescribed





timelines.

 Prevent late-payment interest, penalties and other avoidable financial liabilities.

15. Legal Management & Coordination

 Coordinate legal matters of the Condominium in consultation with the appointed Legal

Consultant/Advocate.

 Coordinate with Advocate Chinmay S. Athalye of M/s. CSA Legal on legal notices,

agreements, disputes and other legal matters.

 Maintain proper records of legal correspondence, notices, agreements and cases.

 Ensure timely follow-up on legal advice and actions.

 Escalate important legal matters to the Managing Committee for appropriate decision.

16. Owner, Tenant & Grievance Management

 Coordinate facility-related requirements and complaints received from Owners, Tenants

and occupants.

 Maintain a structured grievance-recording and follow-up mechanism.

 Ensure complaints are assigned to the appropriate department/vendor and followed

through to closure.

 Coordinate with Soft Services, Technical, Security and Valet teams for resolution.

 Escalate unresolved or sensitive matters to the Working Managing Committee.

17. Manpower Management & Deployment

 Monitor manpower deployment across CBRE, Technical, Soft Services, Security and

Valet Services.

 Monitor attendance, vacancies, absenteeism, discipline and performance.

 Ensure manpower is deployed as per the approved structure and operational

requirements.

 Coordinate with CBRE and respective agencies regarding manpower shortages or

performance issues.

 Review overall manpower adequacy and recommend changes where required.

18. Tenant Fit-Out, Projects & Special Works

 Coordinate tenant fit-outs, renovations, shifting activities and other special works.

 Ensure works comply with building guidelines, safety requirements and approved

procedures.

 Coordinate with tenants, contractors, technical, security and other concerned teams.

 Monitor progress and ensure minimum disruption to normal building operations.

19. Meetings, Events & Community Activities

 Coordinate offline/online Managing Committee meetings and General Body Meetings.

 Assist with meeting notices, agendas, attendance, minutes, documentation and follow-up

of decisions.

 Coordinate festivals, celebrations and other events conducted at the premises.

 Arrange required technical, housekeeping, security, valet and vendor support for such

events.

 Maintain proper records of approved decisions and event-related activities.

20. Inspection, Documentation & Management Reporting

 Conduct regular inspections of the premises covering facility, technical, and

housekeeping, security, safety and common areas.

 Identify deficiencies and monitor corrective action through closure.

 Maintain systematic records relating to operations, maintenance, vendors, manpower,

statutory compliance, finance, legal matters, meetings and grievances.

 Submit periodic reports to the Managing Committee covering key operational, financial,

service, manpower, compliance and incident-related matters.

 Ensure timely reporting and follow-up of all critical and pending matters.

Pay: ₹16,000.00 - ₹75,000.00 per month
