JOB DESCRIPTION – STORE EXECUTIVE
Department: Stores / Purchase
Designation: Store Executive
Industry: Interior / Retail Fit-Out / Furniture & Fixtures
Reporting To: Store In-charge / Purchase Manager / Operations Manager
Location: Factory / Warehouse / Project Site
1. Job Purpose
To manage the receipt, storage, issue, and movement of materials required for interior projects and factory production, while maintaining accurate stock records and ensuring materials are available on time.
2. Key Responsibilities
A. Material Receiving
- Receive materials from suppliers and verify quantity against Purchase Orders and delivery documents.
- Check materials for visible damage, shortage, or incorrect items.
- Coordinate with Purchase, Quality, and Accounts departments for discrepancies.
- Prepare and maintain Material Receipt Notes (MRN/GRN).
B. Material Storage
- Properly arrange and store materials in designated locations.
- Maintain proper identification and labelling of materials.
- Ensure protected storage of plywood, laminates, veneers, hardware, glass, metal, paints, electrical and plumbing materials.
- Follow FIFO wherever applicable.
- Maintain cleanliness and proper housekeeping in the store.
C. Material Issue
- Issue materials to Production, Projects, Site, and other departments based on approved Material Requisition/Indent.
- Verify quantity before issuing materials.
- Maintain proper records of all material issues and returns.
- Ensure materials are issued only against authorized requests.
D. Inventory Management
- Maintain daily stock records in ERP/software or Excel.
- Monitor minimum and maximum stock levels.
- Conduct regular physical stock verification.
- Identify shortages, excess stock, damaged materials, and slow-moving items.
- Report stock discrepancies to the Store In-charge / Purchase Manager.
E. Coordination
- Coordinate with Purchase, Production, Projects, Planning, Accounts and Site teams regarding material requirements.
- Inform Purchase about materials approaching minimum stock levels.
- Coordinate material transfers between factory, warehouse, and project sites.
- Follow up on pending material receipts and returns.
3. Interior Industry-Specific Materials
The Store Executive should have knowledge of handling materials such as:
- Plywood, MDF, HDHMR and particle board
- Laminates and veneers
- Wood and timber
- Hardware and fittings
- Adhesives, Fevicol, chemicals and consumables
- Glass and aluminium
- Metal materials
- Paints and finishing materials
- Electrical materials
- Plumbing materials
- Fasteners, screws, nails and tools
- Packing materials
- Site consumables and safety materials
4. Documentation & Records
Maintain:
- Purchase Order copies
- Material Receipt Notes / GRN
- Material Issue Slips
- Material Return Notes
- Stock Register
- Material Transfer Notes
- Physical Stock Verification Reports
- Damaged/Rejected Material Records
- Scrap Records
- Daily inward and outward records
5. Stock Control
- Ensure 100% accountability of materials received and issued.
- Avoid overstocking and unnecessary purchases.
- Monitor material wastage and damage.
- Maintain proper records of scrap and reusable materials.
- Conduct periodic stock audits.
- Immediately report any loss, shortage, or unauthorized movement of materials.
6. Safety & Housekeeping
- Ensure materials are stored safely and systematically.
- Follow company safety procedures while handling heavy materials.
- Ensure proper stacking of plywood, boards, metal and other materials.
- Keep aisles and emergency access areas clear.
- Follow fire-safety requirements, particularly for paints, chemicals and combustible materials.
- Ensure workers use appropriate PPE when required.
7. Key Performance Indicators (KPIs)
The Store Executive can be evaluated on:
- Stock accuracy
- Material availability
- Minimum stock maintenance
- Reduction in material shortage
- Reduction in material wastage/damage
- Timely material issue
- Accuracy of inward and outward records
- Physical stock reconciliation
- Proper documentation
- Store housekeeping and safety
- Control of slow-moving/dead stock
- Coordination with Purchase, Production and Project teams
8. Required Skills
- Good knowledge of inventory and store management
- Basic knowledge of interior/furniture materials
- Good communication and coordination skills
- Basic computer knowledge
Pay: ₹28,000.00 - ₹35,000.00 per month
