Role Overview
We are seeking a highly trustworthy, detail-oriented and analytically strong Personal Accountant to manage the Chairman’s personal books of accounts, investments, trading records and related business interests. The role will consolidate information from multiple bank, demat, brokerage, investment, proprietorship and directorship-related accounts; ensure accurate bookkeeping and reconciliations; and provide timely MIS reports and decision-oriented financial analysis.
This is a confidential, high-responsibility position requiring strong accounting knowledge, excellent Excel capability, familiarity with capital markets and the ability to independently manage complex financial data.
Key Responsibilities
Accounting and Bookkeeping
Maintain complete and accurate books of accounts for the Chairman, personal financial activities and related entities.
Record transactions from multiple bank accounts, credit cards, trading accounts, demat accounts, investment platforms, loans and other sources.
Maintain the books of proprietorship concerns and records relating to the Chairman’s interests and transactions as an individual director.
Correctly classify income, expenses, investments, capital transactions, loans, advances and related-party transactions.
Maintain ledgers, journals, schedules, supporting documents and audit-ready working papers.
Allocate personal and business expenses appropriately and conduct periodic bank, ledger, demat, broker, investment and inter-account reconciliations.
Identify missing entries, duplicate transactions, reconciliation differences and unusual movements, and ensure timely closure.
Trading and Investment Accounting
Maintain detailed records of equity, derivatives, mutual funds, bonds, fixed deposits, alternative investments and other investment products.
Record and reconcile trades across multiple brokers, demat accounts and investment platforms.
Track purchase cost, sale proceeds, brokerage, statutory charges, realised and unrealised gains or losses, dividends, interest and other investment income.
Reconcile contract notes, broker ledgers, demat statements, bank statements and accounting records.
Maintain records for intraday, delivery-based, futures and options transactions, wherever applicable.
Prepare capital-gain and trading summaries for review by the tax consultant or Chartered Accountant.
Monitor corporate actions, dividends, interest, maturities and other investment entitlements.
Track portfolio exposure, asset allocation, concentration, liquidity and overall performance.
Coordinate with brokers, relationship managers, banks, portfolio managers and advisors to obtain statements and resolve discrepancies.
Support accounting, tracking, reporting and analysis of trades.
Trade execution will be undertaken only when specifically authorised under established controls. Management Information Systems and Analysis
Personal Accountant | Chairman’s Office
Prepare daily, weekly and monthly MIS covering cash and bank balances, trading positions, investment performance, realised and unrealised gains or losses, income and expenditure, receivables and payables, loans and advances, assets and liabilities, net-worth movement, and entity-wise summaries.
Consolidate information from multiple accounts and entities into clear dashboards and management reports.
Conduct variance, trend, profitability, cash-flow and portfolio-performance analysis.
Highlight unusual expenses, concentration risks, cash requirements, performance changes and financial exceptions.
Prepare customised reports and financial summaries for the Chairman and maintain an organised repository of underlying data and documents.
Taxation Audit and Compliance Support
Prepare and maintain data required for income-tax returns, tax audits, statutory audits, assessments and other filings.
Coordinate with Chartered Accountants, tax advisors, Company Secretaries, auditors, bankers and other professional consultants.
Maintain accurate schedules for capital gains, trading income, dividends, interest, rental income, loans, advances, assets and liabilities.
Assist with advance-tax workings, tax-payment tracking, TDS records and compliance calendars.
Support accounting and documentation requirements relating to proprietorship businesses and directorships.
Ensure records and supporting documents are complete, authorised and readily available for review.
Controls and Confidentiality
Handle all personal, financial, investment and business information with absolute discretion and confidentiality.
Maintain strong maker-checker, documentation, approval and reconciliation controls.
Keep physical and digital records secure and maintain a complete audit trail for entries, adjustments and reports.
Do not process payments, fund transfers or sensitive transactions without documented authorisation.
Immediately escalate material discrepancies, overdue items, unusual transactions, compliance risks and control failures.
Required Qualifications and Experience
Bachelor’s degree in Commerce, Accounting, Finance or a related discipline. CA Inter, CMA Inter, MCom or
MBA Finance will be preferred.
5 to 10 years of relevant experience in personal accounting, family-office accounting, investment accounting, wealth management, brokerage accounting or promoter/chairman office finance.
Sound practical understanding of Indian accounting principles, taxation basics, TDS,
capital gains and investment-related accounting.
Experience maintaining books for HNIs, promoters, directors, proprietorship concerns or family offices is highly desirable.
Good understanding of equity, mutual funds, bonds, futures and options, demat accounts, contract notes and broker ledgers.
Technical Skills
Advanced Microsoft Excel skills, including PivotTables, XLOOKUP or VLOOKUP, SUMIFS, logical formulas, data validation, reconciliation models and dashboards.
Strong working knowledge of Tally Prime or similar accounting software.
Ability to import, clean, consolidate and analyse data received from banks, brokers, demat accounts and investment platforms.
Familiarity with Power BI, portfolio-management software or investment-accounting systems will be an advantage.

The person should be comfortable managing confidential information and converting fragmented financial data into accurate accounts, reliable MIS and useful insights.
