Job Title: Construction Administrator
Employment Type: Full Time
Working Days: 6 days
Shift Timings: 6am - 3pm
Key Responsibilities:
- Manage day-to-day administrative activities, including emails, phone calls, documentation, filing, and office coordination.
- Prepare and format quotes, tenders, subcontractor agreements, purchase orders, and other project documentation.
- Maintain accurate project files, including plans, permits, compliance documents, RFI logs, variations, and daily site reports.
- Coordinate site meetings, inspections, schedules, and follow-ups with relevant stakeholders.
- Assist with purchase orders, delivery dockets, supplier coordination, and material follow-ups.
- Support invoicing, accounts payable/receivable, reconciliations, deposits, progress payments, and retentions.
- Maintain job cost sheets and provide administrative support for payroll when required.
- Coordinate and communicate with builders, subcontractors, trades, suppliers, engineers, certifiers, and clients.
- Assist with WHS/SWMS documentation, compliance registers, licences, insurance records, and other regulatory documentation.
- Support building approvals, council documentation, and QBCC-related administrative requirements.
- Maintain accurate digital and physical filing systems and ensure documentation is easily accessible and up to date.
- Provide general administrative and project support to the Office Manager, Project Manager, and Director.
Requirements:
- 2+ years of administration experience; construction industry experience preferred.
- Robust knowledge of MS Office, Excel, Outlook, and PDF editing tools.
- Experience with construction/job management systems such as SimPRO, Buildertrend, AroFlo, ServiceM8, or similar.
- Strong organisational and multitasking skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Ability to coordinate with multiple stakeholders and work independently.
- Understanding of construction terminology, plans, documentation, and project workflow.
- Experience with Xero/accounts will be an advantage.
- Knowledge of QBCC, WHS/SWMS, and Queensland construction compliance will be highly regarded.
- Construction White Card or relevant construction/trade exposure will be an advantage.
Pay: ₹30,000.00 - ₹45,000.00 per month
