We are seeking a hands-on and patient-focused Clinic Operations & Patient Experience Manager to manage the clinic floor, front office, and billing operations, train the billing team, ensure smooth patient coordination, and support conversion of genuine patient enquiries into appointments.

Key Responsibilities

- Manage day-to-day clinic floor operations, patient flow, appointments and coordination between doctors, nurses and front office.
- Supervise front-office and billing operations, ensuring accurate registration, billing, receipts, discounts, cancellations and refunds.
- Be hands-on with the clinic EMR and ensure correct and consistent use by the team.
- Train, guide and monitor front-office/billing staff; conduct process training for new team members.
- Monitor daily billing, collections and reconciliation and coordinate with Finance on discrepancies.
- Handle patient/parent queries and escalations with empathy, professionalism and ownership.




- Follow up on patient enquiries, understand requirements and convert genuine leads into appointments through trust-based communication.
- Maintain MIS on footfall, billing, collections, enquiries, follow-ups and conversion using Excel.

Required Skills

- Strong healthcare front-office, clinic operations and billing experience.
- Hands-on experience with EMR / hospital billing software.
- Ability to train and supervise billing/front-office teams.
- Strong Excel skills – XLOOKUP/VLOOKUP, IF, SUMIFS, COUNTIFS, Pivot Tables and filters.
- Excellent communication, patient coordination and follow-up skills.
- Strong ability to handle patient concerns and convert enquiries into appointments without being overly sales-driven.
- Organised, proactive, accountable and comfortable managing a busy clinic floor.

Additional Requirements

- Healthcare / pediatric clinic experience preferred.
- Experience in patient enquiry handling, appointment conversion and MIS is an advantage.
- Ability to work 6 days a week with 1 weekly off as per clinic roster.
