JOB DESCRIPTION – HR EXECUTIVE
1. Job Purpose
The HR Executive will be responsible for managing day-to-day HR operations, employee coordination, recruitment, attendance, documentation, onboarding, employee engagement, and ensuring smooth implementation of company HR policies and procedures.
2. Key Responsibilities: Recruitment & Hiring
- Handle end-to-end recruitment activities for various positions.
- Source candidates through job portals, social media, references, and other recruitment channels.
- Screen resumes and shortlist suitable candidates.
- Coordinate and schedule interviews with candidates and management.
- Communicate interview results and selection/rejection status to candidates.
- Prepare and issue offer letters and appointment-related documents.
Employee Onboarding
- Complete joining formalities and collect required employee documents.
- Maintain employee personal files and HR records.
- Conduct employee induction and explain company policies, rules, and procedures.
- Coordinate with relevant departments for smooth onboarding.
Attendance & Leave Management
- Maintain daily employee attendance records.
- Monitor late coming, absenteeism, leave, permissions, and regularisation.
- Coordinate monthly attendance data for payroll processing.
- Maintain proper records of employee leave balances.
Payroll Support
- Prepare and verify monthly payroll inputs.
- Share attendance, leave, incentives, deductions, and other relevant information with the payroll team/management.
- Maintain confidentiality of employee salary information.
- Assist in resolving salary-related employee queries.
Employee Relations
- Act as the first point of contact for employee HR-related queries.
- Handle employee concerns and coordinate with management for appropriate resolution.
- Maintain a positive and professional work environment.
- Support employee engagement activities and internal communication.
HR Documentation
- Maintain employee records, HR files, letters, agreements, and other documents.
- Prepare HR letters such as offer letters, appointment letters, confirmation letters, warning letters, increment letters, relieving letters, and experience letters.
- Ensure HR records are updated and properly maintained.
Performance & Discipline
- Assist in employee performance review and appraisal processes.
- Track probation periods and confirmation status.
- Monitor compliance with company rules and policies.
- Issue or coordinate disciplinary communications whenever required by management.
Exit & Full and Final Process
- Handle resignation documentation and exit formalities.
- Conduct or coordinate exit interviews.
- Coordinate notice period, handover, clearance, and full & final settlement processes.
- Ensure company assets and documents are returned before relieving employees.
HR Administration
- Maintain HR trackers and reports.
- Prepare daily/weekly/monthly HR reports for management.
- Coordinate employee meetings, training programs, and HR activities.
- Support management in implementing HR policies and procedures.
- Maintain confidentiality of all employee and company information.
3. Key Skills Required
- Good communication and interpersonal skills.
- Strong coordination and follow-up skills.
- Basic knowledge of recruitment and HR operations.
- Good knowledge of MS Excel, Word, Google Sheets, and Google Forms.
- Good documentation and record-maintenance skills.
- Ability to handle confidential information professionally.
- Problem-solving and decision-making ability.
- Ability to work independently as well as with a team.
- Good Tamil and English communication skills.
4. Qualification
Education: Any Degree / MBA HR / MSW HR or equivalent qualification.
Experience: 1–3 years of experience in HR preferred. Freshers with positive communication and HR knowledge may also be considered.
5. Key Performance Indicators (KPIs)
- Recruitment closure within the required timeline.
- Employee attendance and HR records accuracy.
- Timely completion of onboarding and exit formalities.
- Employee grievance resolution and follow-up.
- HR documentation accuracy and completeness.
- Employee retention and engagement support.
- Timely submission of HR reports.
- Compliance with company HR policies and procedures.
6. Expected Behaviour
The HR Executive is expected to maintain professionalism, confidentiality, discipline, fairness, and a positive attitude while dealing with employees, candidates, management, and external parties.
Note: The HR Executive shall perform any additional HR-related duties assigned by the HR Manager or Management based on the company's operational requirements.
Pay: ₹12,000.00 - ₹20,000.00 per month
