Executive Associate, Founders Office (to the CEO)

Role purpose
Work directly with the CEO to turn how we operate today into a documented, repeatable system: governance, commercial administration, reporting, and executive support. This is an ownership role, not a coordination desk.
Key responsibilities
• Operating rhythm: run the weekly leadership review (agenda, minutes, action tracker), prepare the monthly business review, support the quarterly OKR cycle, maintain the org chart, and chase actions to closure with escalation to the CEO.
• Award-to-cash support: maintain contract and proposal templates, the commercial register and the delegation-of-authority matrix. Track awarded work through execution, invoicing and collection milestones.
• Systems and data: keep the project management system as the single record, ensure one master record per campaign, retire duplicate trackers, and draft and update SOPs.
• Management reporting: compile the monthly performance pack (revenue, margin,



utilisation, pipeline, headcount), reconcile with accounting and CRM, and draft variance commentary for CEO review.
• Executive support: manage the CEO’s calendar against agreed priorities, prepare meeting briefs and research, and track and close the CEO’s commitments.
• Growth projects: research markets, clients and opportunities, support BD outreach, and draft briefs and decision notes.

Authority (scaled for the level)
• Independent: set internal meeting agendas, accept/decline/reschedule CEO meetings within agreed parameters, chase deadlines across teams, and archive records in the PM system.
• With CEO approval: any expenditure, contract issuance, pricing, scope variations, and all people and remuneration decisions.
• Limits for any delegated spend are confirmed in writing in week one.

KPIs
• Weekly review held on schedule with minutes within 24 hours
• 90%+ of actions closed by deadl
