Job Summary

Position title and grade: Field Coordinator, Finance and Admin (Grade-4). Position type/duration: Fixed-Term (Two years with possibility of extension subject to organizational needs, satisfactory performance, and funds availability). Position location: West Singhbhum, Jharkhand. Work schedule: Monday to Friday, 9:00 AM to 5:00 PM, 40 hours per week. Telework eligible: No. Reports to: Senior Field Officer, Program, West Singhbhum and Deoghar.

Position role: Field Coordinator, Finance and Administration will be responsible for handling all admin and finance related tasks such as - managing procurement, vendor management, handling day to day book keeping and accounting, handling office expenses, managing cash flow, support in preparing financial reports, etc. in line with internal policies and statutory requirements.

Remain alert and responsive to any safeguarding risks; acquire knowledge and skills necessary to promote strong safeguarding practices; understand and adhere to ChildFund India s Safeguarding Policy and Procedures; and conduct yourself at all times in a manner consistent with ChildFund India s safeguarding principles and standards.

Primary Responsibilities

- Payments & Reimbursements, Financial Management & Reporting: Ensure all financial transactions have the appropriate and required supporting documents in compliance with ChildFund policies and procedures, donor terms and conditions and sound internal controls.
- Keyed accurate and complete accounting entries of all financial transaction which includes fund transfer, verifying vouchers and journal vouchers.
- Review of supporting documents and enter payment request into accounts payable module for payment processing.
- Process all payments within 3 working days.
- Ensure and deduct accurate Tax and deposit to tax amount with in due date.
- Make replenishment of petty cash if it exceeds 50% of the petty cash limit or fortnightly.
- Ensure all the statutory payments and return filed as per the due date at the assigned location
- Ensure all the project Finance Documents are in order for the Assurance/ Finance Review.
- Accounting & Statutory Compliance:



Coordinate with audit team to ensure for smooth completion of all audits whenever required for the project.
- Verify supporting Document as per the payment check list.
- To review and ensure compliances with regards to FCRA, IT, PF and PT.
- Ensure adherence to accounting manuals and prevalent accounting practices.
- Monitor preparations for statutory audits and see them to completion by taking corrective action for non-conformance.
- Ensure the Preparation of Bank Reconciliation and Month end report in a timely manner and send it to Grants Finance Officer for review.
- Any other responsibilities as assigned by Line Manager.
- Procurement: Procurement management like preparation and RFQ, Bid analysis, vender management etc.

Qualifications

- Education: Bachelor's degree in Accounts, Finance or Commerce discipline.
- Work Experience: Minimum 2 years of accounting experience in the development sector preferably for an international organization.
- Language Proficiency: Strong communication skills (both verbal and written) in Hindi, English.
- Skills and Abilities: Willingness to travel to remote locations when required. Strong verbal communication skills, with the ability to develop and deliver compelling presentations. Robust understanding of national and global frameworks on child protection and safeguarding. Strong team management and adapt to local context.

Evaluation and Selection Criteria

- Step 1: HR Pre-Screening: All Job Applications received will be collated by HR and preliminary screening will be conducted based on the minimum education and experience requirements mentioned above. The Applicants that do not meet the education and experience criteria will not be considered further for the selection process. All the qualified applications will be handed over by HR to the Selection Panel.
- Step 2: Qualified applications will be further reviewed by the Selection Panel. The Selection Panel will assess and rank all the applications based on the following factors for a maximum of 100 points: Job Knowledge 50 points; Work Experience 50 points
- Step 3: Based on the written test assessment (If or as required), applications will be further shortlisted for Step 3 i.e. Interview. The applications will be evaluated by the Selection Panel for the final selection, based on the following evaluation factors for a maximum of 100 points. Evaluation Factors Points: Technical knowledge and Applied skills 25 points; Work Experience 25 points; Teamwork & Interpersonal Collaboration 15 points; Problem Solving and Critical Thinking 15 points; Communication Skills 10 points; Organizational and Cultural Alignment 10 points
