Position Overview
The Customer Service Representative (CSR) serves as the primary point of contact for patients, healthcare providers, and key stakeholders. In this role, you will answer inquiries, schedule appointments, address patient needs, and uphold strict compliance with healthcare regulations. We are looking for an empathetic, detail-oriented professional who excels in a fast-paced healthcare environment and is dedicated to delivering exceptional service.
Key Responsibilities
Patient & Provider Support
- Inquiry Handling: Respond promptly and professionally to incoming phone calls, emails, and general inquiries from patients, providers, and caregivers.
- Information Delivery: Provide precise information regarding organizational services, operational policies, and healthcare procedures.
- Issue Resolution: Resolve patient concerns with empathy and professionalism, escalating complex issues to leadership when necessary.
Appointment Scheduling
- Scheduling Management: Coordinate, schedule, and confirm patient appointments while maintaining accurate system documentation.
- Conflict Resolution: Manage calendar conflicts efficiently and follow up on schedule updates with patients and providers.
Regulatory Compliance & Data Security
- HIPAA Compliance: Strictly adhere to healthcare regulations, company guidelines, and HIPAA standards to protect patient privacy.
- Policy Standards:
Ensure all communications and records comply with state and federal laws regarding chronic pain management and opioid prescribing policies.
Administrative & Operations Support
- Record Maintenance: Maintain complete and accurate interaction records in CRM or Electronic Health Record (EHR) systems.
- Patient Outreach: Assist in tracking patient outreach programs designed to improve overall health outcomes.
- Team Collaboration: Collaborate across internal teams to ensure seamless service delivery and workflow efficiency.
Qualifications & Requirements
- Education: High school diploma or equivalent required; Associate or Bachelors degree in Healthcare, Business, or a related field preferred.
- Experience: Minimum of 1–2 years in customer service, ideally within a healthcare, medical office, or call center environment. Experience with scheduling platforms and Electronic Health Records (EHR) systems is highly preferred.
- Language Skills: Advanced English proficiency with excellent vocabulary, neutral tone, and clear verbal and written communication skills suitable for US customer interaction.
- Technical Skills: Proficiency with healthcare CRM software, medical scheduling tools, and Microsoft Office Suite.
- Core Competencies: Robust interpersonal skills, empathy for patient care, exceptional attention to detail, and sound problem-solving abilities in sensitive situations.
- Domain Knowledge: Familiarity with HIPAA compliance, healthcare administration, or chronic pain management is a plus.
