Job Description - Purchase Executive (Imports)
Position
Purchase Executive - Imports
Department
Supply Chain Management / Procurement
Location
Pune, India (or as applicable)
Reporting To
Purchase Manager / SCM Manager
Key Responsibilities
Procurement & Supplier Management
•
Execute purchase orders for imported materials as per production and business requirements.
•
Coordinate with overseas suppliers for quotations, order confirmations, shipment schedules, and documentation.
•
Negotiate pricing, lead times, payment terms, and delivery schedules.
•
Monitor supplier performance related to quality, cost, and delivery.
•
Maintain strong relationships with global suppliers to ensure uninterrupted supply.
Import Operations
•
Handle end-to-end import procurement processes from RFQ to material receipt.
•
Track shipments and ensure on-time deliveries.
•
Coordinate with freight forwarders, CHA (Custom House Agents), shipping lines, and logistics providers.
•
Review and verify import documentation such as:
o
Commercial Invoice
o
Packing List
o
Bill of Lading / Airway Bill
o
Certificate of Origin
o
Insurance Documents
o
Import Licenses (if applicable)
Customs & Compliance
•
Ensure compliance with import regulations, customs requirements, and company policies.
•
Support customs clearance activities and resolve documentation-related issues.
•
Monitor changes in DGFT, Customs, and international trade regulations.
•
Maintain records for audits and statutory compliance.
Inventory & Planning Coordination
•
Coordinate with planning, production, stores,
and logistics teams to ensure material availability.
•
Monitor inventory levels and initiate procurement actions to avoid stock-outs.
•
Follow up on open purchase orders and expedite critical shipments.
Cost Management
•
Analyze landed costs including freight, duty, insurance, and other import-related expenses.
•
Identify opportunities for cost reduction and process improvements.
•
Support annual budgeting and procurement cost-saving initiatives.
ERP & Documentation
•
Create and manage purchase orders in ERP systems (SAP, Oracle, Microsoft Dynamics, etc.).
•
Maintain accurate procurement records, supplier databases, and import documentation.
•
Prepare procurement and import status reports.
Qualifications
•
Bachelor's Degree in Commerce, Engineering, Supply Chain, Business Administration, or related field.
•
Diploma/Certification in Import-Export Management will be an added advantage.
Experience
•
3-6 years of experience in Procurement/Purchasing.
•
Minimum 2 years of experience handling import procurement activities.
•
Experience in manufacturing, industrial automation, engineering, automotive, or machinery industries preferred.
Required Skills
Technical Skills
•
Knowledge of international procurement processes.
•
Understanding of Incoterms (EXW, FCA, FOB, CFR, CIF, DDP, etc.).
•
Knowledge of import documentation and customs clearance procedures.
•
Understanding of HS Codes, duty structures, and landed cost calculations.
•
Proficiency in ERP systems such as SAP MM.
•
Positive knowledge of MS Excel and reporting tools.
