JANANI ORTHOPAEDICS AND SPORTS INJURY CENTER

Anna Nagar

Janani Orthopedic & Sports Injury Center is a growing specialty orthopaedic and sports injury hospital in Chennai, founded and managed by a doctor couple. The hospital has been serving patients for the past two years and currently has a team of around 20 employees, with plans for gradual expansion as the hospital grows.

As the hospital continues to develop, we are looking for an HR & Admin Executive who can take ownership of recruitment, employee management and day-to-day administrative activities, allowing the doctors and management team to focus more on clinical care and hospital growth.

This is a hands-on role with significant responsibility and an opportunity to build and develop HR systems in a growing healthcare organisation.

About the Role

We are looking for a proactive, organised and responsible HR & Admin Executive to manage the hospital's day-to-day HR and administrative activities.

The ideal candidate should be comfortable working in a small but growing healthcare organisation and should be capable of independently handling recruitment, employee coordination, retention, documentation and hospital administration.

The candidate should also be comfortable using modern digital tools and AI tools such as ChatGPT to improve productivity, documentation and administrative efficiency.

Key Responsibilities1. Recruitment & Hiring

- Manage the end-to-end recruitment process for nurses, technicians, front-office staff, pharmacists, physiotherapists and other hospital employees.
- Source candidates through job portals, social media, referrals and recruitment networks.
- Screen CVs and conduct initial candidate interviews.
- Coordinate interviews with the hospital management.
- Maintain a database of suitable candidates for current and future vacancies.
- Develop a continuous recruitment pipeline for critical hospital positions.
- Ensure vacancies are filled promptly and minimise disruption due to staff turnover.

2. Employee Management & Retention

- Manage employee joining, onboarding, probation and confirmation processes.
- Maintain accurate employee records, attendance, leave and other HR documentation.
- Monitor punctuality, discipline,

performance and workplace behaviour.
- Address routine employee concerns and coordinate with management when required.
- Conduct employee feedback and exit interviews.
- Identify common reasons for employee turnover and suggest practical measures to improve retention.
- Assist with performance appraisals, salary revisions and employee development.
- Help create a positive, professional and supportive work workplace.

3. Hospital Administration

- Support the day-to-day administrative functioning of the hospital.
- Coordinate with nursing, pharmacy, physiotherapy, radiology, front office, OT and other departments.
- Assist with staff duty rosters, scheduling and administrative coordination.
- Ensure hospital policies, SOPs and staff guidelines are communicated and followed.
- Maintain administrative records, registers and routine documentation.
- Coordinate with management and various departments to ensure smooth hospital operations.
- Identify administrative issues and follow up until they are resolved.

4. NABH & Quality Support

- Assist the management in maintaining documentation and records required for NABH accreditation and hospital quality processes.
- Coordinate with departments for implementation of SOPs, checklists, registers and quality-related documentation.
- Assist with internal audits, inspections and NABH-related activities.
- Follow up on corrective and preventive actions.
- Ensure required HR and administrative records are maintained and updated.

5. Insurance & TPA Support

- Assist the hospital team with routine insurance and TPA-related administrative activities.
- Coordinate documentation required for pre-authorisation, claims and discharge processes.
- Follow up on pending insurance/TPA queries and documentation.

- Coordinate with the billing, clinical and administrative teams for timely completion of insurance-related processes.
- Maintain appropriate records of insurance and TPA correspondence.

6. Computer, Digital & AI Skills

- Maintain employee and administrative records using digital systems.
- Should have good working knowledge of MS Office, Google Workspace, Excel and email.
- Experience with hospital management software will be an advantage.
- Should be comfortable using AI tools such as ChatGPT and other productivity tools for documentation, recruitment, communication, data organisation and administrative tasks.
- Should be willing to learn and adopt new digital tools and software.

Required Skills & Qualities

- Good communication and interpersonal skills.
- Good computer and documentation skills.
- Strong organisational and follow-up abilities.
- Ability to manage multiple responsibilities independently.
- Good problem-solving and decision-making skills.
- Ability to communicate professionally with employees at different levels.
- Professional, approachable and responsible personality.
- Good understanding of recruitment and employee management.
- Ability to maintain confidentiality of employee and hospital information.
- Willingness to learn hospital administration, NABH and insurance processes.
- Prior experience in hospital/healthcare HR or administration will be an advantage.

Who We Are Looking For

We are looking for someone who is hands-on, dependable and willing to take ownership rather than someone who is limited to routine HR paperwork.

The ideal candidate should be able to independently identify staffing requirements, recruit suitable employees, maintain good employee relationships, follow up on pending tasks and support the management in building a stable and professional hospital team.

This is an excellent opportunity for someone who wants to grow along with a young and expanding specialty hospital and take responsibility for building and improving its HR and administrative systems.
