Key Responsibilities1. Front Desk & Client Management
• Welcome clients warmly and ensure a skilled reception experience.
• Manage client registration, check-ins, and appointment scheduling.
• Handle incoming calls, WhatsApp inquiries, and client queries professionally.
• Coordinate client appointments, follow-ups, and rescheduling.
• Maintain client confidentiality and professional communication at all times.

2. Appointment & Consultation Coordination
• Coordinate with consultants, doctors, therapists, and the Branch Manager to manage daily appointments.
• Ensure clients are attended to on time and minimize waiting periods.
• Maintain daily appointment schedules and consultation records.
• Follow up with clients regarding upcoming appointments and missed visits.

3. Administrative & Billing Support
• Maintain accurate client records, forms, and clinic documentation.
• Support billing, payment collection, receipt generation, and basic cash-handling procedures.
• Track pending payments and coordinate with the concerned team for timely clearance.




• Update client details, appointment status, and payment information in the clinic's ERP/software.

4. Clinic Operations & Coordination
• Ensure the reception area remains clean, organized, and presentable.
• Coordinate with the operations team to ensure a seamless client journey.
• Maintain daily reports, appointment registers, and other required documentation.
• Follow company SOPs, policies, grooming standards, attendance procedures, and reporting guidelines.

5. Client Experience & Business Support
• Build positive relationships with clients and address routine queries courteously.
• Coordinate with the sales and consultation team to support lead follow-ups and appointment conversions.
• Inform clients about appointments, clinic offers, and approved promotional activities.
• Escalate client complaints and service-related concerns to the Branch Manager promptly.
