Position: Logistics Manager Import & Export (EXIM)
Job Purpose
To manage and coordinate the complete Import and Export logistics operations, ensuring timely and cost-effective movement of raw materials, components and finished goods through international and domestic transportation while ensuring proper documentation, customs compliance and coordination with customers, suppliers, freight forwarders, CHA, shipping lines and transporters.
Key Responsibilities
1. Export Logistics
- Plan and coordinate export shipments as per customer delivery schedules.
- Coordinate with customers, freight forwarders, CHA, shipping lines and transporters.
- Arrange containers, vehicles and shipment bookings.
- Coordinate factory stuffing/loading and movement of containers to port.
- Monitor shipment status from dispatch until final delivery.
- Ensure timely submission of shipping and export documents.
- Track vessel schedules, ETD/ETA and shipment delays.
2. Import Logistics
- Coordinate import shipments from suppliers to the manufacturing plant.
- Monitor shipment status from supplier dispatch to port/airport and final delivery.
- Coordinate with CHA/freight forwarders for customs clearance.
- Arrange transportation from port to factory.
- Monitor demurrage/detention and take corrective action to avoid unnecessary costs.
- Coordinate with Purchase, Stores and Accounts for timely clearance and receipt of imported materials.
3. EXIM Documentation
Ensure accuracy and timely processing of:
- Commercial Invoice
- Packing List
- Purchase Order
- Proforma Invoice
- Bill of Lading / Airway Bill
- Shipping Bill
- Bill of Entry
- Certificate of Origin
- Insurance documents
- E-way Bill
- Delivery Challan
- Letter of Credit (LC), where applicable
- Bank/AD-related export documents
- Other documents required for import/export shipments
4. Customs & CHA Coordination
- Coordinate with Customs House Agents (CHA) for import and export clearance.
- Ensure proper classification and documentation for customs clearance.
- Coordinate for examination, assessment and clearance of shipments.
- Follow up on pending customs issues and documentation discrepancies.
- Maintain records of customs clearance and related documents.
- Monitor applicable duties, taxes, exemptions and other charges in coordination with Finance/Accounts and CHA.
5. Freight Forwarder & Shipping Line Management
- Obtain and compare freight quotations from freight forwarders and shipping lines.
- Negotiate freight rates and other logistics charges.
- Maintain approved freight forwarder/CHA/vendor database.
- Monitor service quality and performance of logistics vendors.
- Verify freight and logistics bills before submission to Accounts.
- Identify opportunities for freight and logistics cost reduction.
6. International Shipment Planning
- Plan shipments based on customer requirements, production schedules and inventory availability.
- Coordinate with Production, Sales, Purchase and Stores for shipment readiness.
- Ensure appropriate container size and utilization.
- Monitor container loading and documentation.
- Minimize container detention, demurrage and other avoidable charges.
7. Compliance & Regulatory Coordination
- Ensure compliance with applicable Import/Export regulations.
- Coordinate with relevant authorities and agencies wherever required.
- Maintain required EXIM records and documentation.
- Ensure proper use and maintenance of company import/export registrations and authorizations.
- Coordinate with Finance for export realization and required banking documentation.
- Keep updated with changes in customs, DGFT and international logistics requirements.
8. Cost Control
- Monitor ocean freight, air freight, CHA charges, customs duty, transportation,
port charges and other logistics expenses.
- Analyze shipment-wise logistics costs.
- Control demurrage, detention, warehousing and other avoidable charges.
- Prepare monthly logistics cost reports.
- Negotiate rates with freight forwarders, CHA and transporters.
9. Team & Stakeholder Management
- Lead and supervise the EXIM/logistics team.
- Coordinate with Production, Purchase, Sales, Stores, Finance and Quality departments.
- Maintain effective communication with overseas customers and suppliers.
- Resolve shipment delays, documentation issues and clearance-related problems.
10. MIS & Reporting
Prepare and maintain:
- Import Shipment Status Report
- Export Shipment Status Report
- Pending Shipment Report
- Import Clearance Report
- Export Dispatch Report
- Freight Cost Report
- Container Tracking Report
- Demurrage/Detention Report
- Monthly EXIM MIS
- Vendor/CHA/Freight Forwarder Performance Report

Technical Skills
- Good knowledge of Import & Export documentation.
- Knowledge of customs clearance procedures.
- Knowledge of DGFT and international trade procedures.
- Good knowledge of MS Excel and MIS.
- ERP/SAP knowledge will be an advantage.
- Good understanding of Incoterms such as FOB, CIF, CFR, EXW, FCA, etc.
- Good understanding of containerized sea shipments and air shipments.
