*Position:* Sampling Merchandiser

*Product Line:* Men's Casual & Semi-Formal Woven Garments (Shirts, Casual Shirts, Overshirts, Cuban Shirts, Linen Shirts)

*Location:* Factory Site / Mumbai HO

*Reports To:* Director / Factory Head

*Role Overview:*

You will be the bridge between Buyer, Design Team and Factory. You own the sample from inquiry to approval to production-ready stage. This is for RECENT FACTORY SETUP, so you will build the sampling system from scratch.

*KEY ROLES & RESPONSIBILITIES*

*1. Sample Development & Follow-up*

- Receive tech pack / inquiry from buyer / design team and analyze fabric, trims, construction, costing feasibility.

- Create sampling T&A; calendar - Proto, Fit Sample, Size Set, Pre-Production Sample, Salesman Sample, Photo Shoot Sample.

- Coordinate with Pattern Master, Cutting, Sewing, Finishing for timely sample completion.

- Ensure every sample is as per buyer requirement - stitching, measurements, wash, print placement.

- Maintain 100% on-time sample submission - No delay.

*2. Fabric & Trim Sourcing for Samples*

- Source fabrics for samples: Cotton Poplin, Oxford, Twill, Linen, Linen-Blend, Flannel, Corduroy for Casual & Semi-Formal line.

- Source trims: Buttons, Labels, Tags, Interlinings, Zippers as per buyer.

- Maintain fabric & trim library for sampling - Inward / Outward register.

- Coordinate with purchase team for sample fabric procurement within 2-3 days.

*3. Costing & Price Negotiation (Sampling Stage)*

- Prepare initial sample costing sheet - Fabric consumption, trim cost, CMT, wash cost.

- Work with costing team to give competitive price for buyer approval.

- Suggest alternative fabrics / trims to meet buyer target price without compromising quality.

- Track actual vs estimated consumption in sampling.

*4. Communication & Documentation*

- Single point of contact for buyers for all sampling queries.

- Send daily sample status report to management.

- Prepare sample request form, measurement chart, BOM for each style.





- Document all buyer comments, approvals, rejections with photos.

- Maintain style file - Tech pack, patterns, swatches, approval emails for each style number.

*5. Fit & Quality Control in Sampling*

- Check measurements of each sample before sending to buyer - 100% measurement check.

- Attend fit sessions, note down fit corrections, update pattern master.

- Ensure finishing quality of sample is export standard - No loose threads, proper ironing, correct folding.

- Get internal approval before dispatching to buyer.

*6. Handover to Production Merchandiser*

- After PPS / Pre-production approval, handover complete file to production merchandiser with all approved trims, patterns, comments.

- Conduct pre-production meeting with factory team explaining style details.

- Ensure sealing of approved sample for bulk reference.

*7. New Factory Setup Responsibilities*

- Setup sampling room SOP - Sample flow, documentation system, sample storage.

- Setup sample tracking system in Excel / ERP - Style wise status.

- Train junior sampling coordinators and tailors for casual wear construction.

- Setup 50-100 new styles library for buyer presentation.

*KPIs:*

- Sample on-time delivery: > 95%

- First-time sample approval rate: > 80%

- Buyer query response time: < 4 hours

- Sample rejection due to measurement error: < 2%

- Costing accuracy: > 98%

*Qualification & Experience:*

- 4-7 years experience as Sampling Merchandiser in Men's Woven Shirts / Casual Wear.

- Must have worked in export factory / buying house - handling US / UK / EU buyers.

- Strong knowledge of woven fabrics, washes, garment construction for casual & semi-formal.

- Proficient in Excel, Email communication, Tech Pack understanding.

- Diploma / Degree in Apparel Merchandising / Fashion Technology.
