Job Summary

We are looking for a highly skilled Data Analyst / MIS Executive to manage and analyze business data for 8 retail outlets and the central production unit of a sweet manufacturing and retail business.

The candidate will be responsible for maintaining outlet-wise and production-wise databases, preparing daily sales and wastage reports, variance reports, production reports, stock analysis, reconciliation reports, and management dashboards.

The ideal candidate must have excellent Advanced Excel skills and the ability to convert large volumes of operational data into accurate reports and actionable business insights.

Key Responsibilities
1. Outlet-Wise Data Management

- Manage and maintain databases for 8 retail outlets.
- Maintain daily outlet-wise sales, stock, wastage, transfer, return, and other operational data.
- Consolidate data from all outlets into centralized MIS reports.
- Monitor data accuracy and identify missing, incorrect, or duplicate entries.
- Maintain SKU/item-wise, category-wise, and outlet-wise databases.
- Track daily, weekly, and monthly performance of each outlet.

.2. Daily Sales Analysis

- Prepare daily outlet-wise sales reports.
- Analyze sales by outlet, product, category, SKU, quantity, and value.
- Compare actual sales vs. target/budget.
- Identify high-performing and low-performing outlets and products.
- Prepare daily sales summaries for management.
- Analyze sales trends and identify unusual variations.

. 3.Variance Analysis

- Prepare daily and monthly variance reports.
- Analyze differences between:
- Production vs. sales
- Opening stock vs. closing stock
- System stock vs. physical stock
- Standard quantity vs. actual consumption
- Expected wastage vs. actual wastage
- Production quantity vs. dispatch quantity
- Sales target vs. actual sales
- Investigate significant variances and identify possible reasons.
- Highlight major exceptions requiring management attention.





4. Production Unit Data Management

- Maintain daily production data for the central sweet production unit.
- Track product-wise production quantities.
- Analyze production against sales and outlet requirements.
- Maintain production planning and dispatch data.
- Track raw material consumption against production.
- Analyze production efficiency and yield.
- Monitor production wastage and process losses.
- Prepare production vs. requirement reports.
- Coordinate with the production team to ensure accurate data recording.

5. Stock & Inventory Analysis

- Maintain outlet-wise and production-unit stock databases.
- Prepare stock movement reports.
- Monitor opening stock, purchases/production, transfers, sales, wastage, returns, and closing stock.
- Reconcile physical stock with system/database records.
- Identify stock discrepancies and unusual movements.
- Prepare slow-moving and fast-moving product reports.
- Monitor stock availability across all outlets.

6. Advanced Excel & Dashboard Development

The candidate must have excellent hands-on knowledge of Advanced Excel and should be capable of independently developing:

- Advanced Excel dashboards

- INDEX-MATCH
- SUMIFS / COUNTIFS
- IF / IFS / IFERROR

7. Management Reporting

Prepare regular reports including:

- Daily Sales Report
- Outlet-Wise Sales Report
- Product-Wise Sales Report
- Daily Wastage Report
- Wastage % Report
- Sales Variance Report
- Production Report
- Production vs. Sales Report
- Stock Reconciliation Report
- Outlet Stock Report
- Transfer/Dispatch Report
- Production Yield Report




- Raw Material Consumption Report
- Outlet Performance Report
- Monthly MIS Report
- Management Dashboard
- Exception/Deviation Report

For example:

- Which outlet has the highest wastage?
- Which products have abnormal wastage?
- Which outlet has declining sales?
- Which products are over-produced or under-produced?
- Where is the highest stock variance?
- Which products are fast-moving or slow-moving?
- What is the production requirement based on sales trends?
- Which outlet has the highest sales growth?
- Where are stock or quantity mismatches occurring?
- What are the major daily/monthly deviations?
- What operational areas require management attention?

Candidate Profile

The ideal candidate should:

- Have excellent numerical and analytical ability.
- Be extremely robust in Advanced Excel.
- Be comfortable handling large amounts of daily data.
- Have strong attention to detail and data accuracy.
- Understand sales, inventory, production, wastage, and variance concepts.
- Be able to identify errors and unusual business patterns.
- Be capable of independently preparing management reports.
- Have good communication skills to coordinate with outlet and production teams.
- Be proactive in identifying problems rather than simply preparing reports.

Qualification

- Bachelor's of Commerce / Master's of Business administration.
- Candidates with relevant professional experience and exceptional Excel skills may also be considered.

Experience

- 4 to 8years of relevant experience in Data Analysis, MIS, Reporting, Business Analysis, or a similar role.
- Candidates should have demonstrated experience working extensively with Advanced Excel and large datasets.
