Position Summary
We are seeking a detail-oriented and highly organized Office Support Administrator to provide comprehensive administrative and coordination support across a portfolio of managed properties, with occasional support to the Business Development team as needed. This is a generalist role suited to someone comfortable juggling multiple properties, tenants, and deadlines at once. The ideal candidate is proficient in Microsoft Word, Excel, PowerPoint, and SharePoint, has strong written communication skills, and thrives in a fast-paced, detail-heavy environment where accuracy and follow-through matter.
Key Responsibilities
- Provide as-needed support to the Business Development team, including assistance with RFI (Request for Information) and RFP responses, formatting proposal documents, and compiling supporting materials.
- Serve as a central administrative point of contact for a portfolio of multiple properties, coordinating tasks and communications across each.
- Track, reconcile, and organize property-related expenses, invoices, and vendor bills; maintain accurate and up-to-date expense logs in Excel.
- Process, file, and track rent receipts and other tenant payment documentation; flag discrepancies and follow up as needed.
- Follow up with renters/tenants regarding lease renewals, outstanding balances, document requests, maintenance requests, and general inquiries via email and phone.
- Draft, format, and distribute tenant notices (e.g., rent reminders, lease renewal notices, policy updates, entry notices, violation notices) with transparent, professional, and accurate written communication.
- Coordinate move-in and move-out inspections, including scheduling, preparing and distributing inspection checklists/paperwork, and organizing completed documentation and photos.
- Maintain and update the SharePoint portal with current leases, notices, inspection reports, receipts, and property files, ensuring documents are organized and easy to retrieve.
- Create and maintain spreadsheets, trackers, and dashboards in Excel to monitor property status, expenses, renewals, and outstanding tasks across the portfolio.
- Prepare reports, summaries, and presentations in Word and PowerPoint for internal reviews or management updates.
- Support general office administration tasks, including filing, data entry, scheduling, and responding to internal and external correspondence.
- Maintain confidentiality of tenant, financial, and property records at all times.
- Identify and flag process gaps or recurring issues, and suggest improvements to documentation and workflows.
Required Qualifications
- Bachelor's degree preferred, or equivalent practical experience in administrative/office support roles.
- 1–3+ years of experience in an administrative, property management, or office coordination role (property management experience strongly preferred).
- Strong proficiency in Microsoft Word, Excel (formulas, basic data tracking/reporting), and PowerPoint.
- Working knowledge of SharePoint for document storage, organization, and version control.
- Excellent written and verbal English communication skills, with the ability to draft clear, professional tenant-facing correspondence.
- Strong organizational skills with the ability to manage multiple properties, tasks, and deadlines simultaneously.
- High attention to detail, particularly with financial records, receipts, and inspection documentation.
- Comfortable working independently in an offshore/remote support capacity, with overlap availability for U.S./international business hours as needed.
- A true generalist mindset — willing and able to move fluidly between administrative, financial tracking, and tenant-communication tasks.
Preferred / Nice-to-Have
- Prior experience supporting a U.S.-based property management or real estate company.
- Familiarity with property management software or tenant portals.
- Experience creating standard operating procedures (SOPs) or process documentation.
- Prior exposure to business development, proposal writing, or responding to RFIs/RFPs.
Key Attributes
- Reliable and proactive — follows up without being reminded.
- Calm and professional under multiple competing priorities.
- Strong sense of ownership over documentation accuracy and completeness.
- Trustworthy with sensitive financial and tenant information.
