About the Role
We are looking for a Senior Executive to assist with event planning and coordinate operational delivery through internal teams and external vendors.

It involves ongoing planning assistance, vendor coordination, technical session arrangements, logistics and administration. The role also includes supporting a major project with extensive operational requirements.
Key Responsibilities

- Coordinate external vendors for venues, hotels, transportation, catering, audiovisual support, exhibition services and event materials.
- Collect quotations, prepare comparisons and support negotiations for approval.
- Track approved vendor deliverables, bookings and deadlines.
- Coordinate technical sessions and webinars with the technical team and speakers, including schedules, presentations, rehearsals and session requirements.
- Manage registration records, attendance tracking, feedback and certificates, where applicable.
- Coordinate travel arrangements,
hotel rooming lists, transfers and event supplies.
- Support the major project through planning assistance and coordination of assigned operational activities.
- Maintain action trackers, expense records, approval documentation and invoice/payment follow-ups.
- Support on-site readiness, event execution and post-event closure.
- Provide clear progress reports and promptly escalate delays or operational issues.
Qualifications and Skills
- Bachelor’s degree in a relevant discipline.
- 3–4 years of relevant experience in events operations, conference coordination or programme administration.
- Experience coordinating external vendors and supporting in office event delivery.
- Strong organisation, communication, attention to detail and follow-up skills.
- Proficiency in Excel, Word, PowerPoint, Outlook and Microsoft Teams.
- Familiarity with webinar platforms and registration tools.
- Ability to manage multiple deadlines and work independently on assigned responsibilities.
- Willingness to travel within India and internationally and support event schedules.
Experience in a trade association, industry body or professional organisation will be an advantage. Candidates from event management agencies are welcome if they are interested in an in-house association role.
