Vibescapes is looking for a responsible and hands-on Reservations Supervisor to oversee day-to-day reservations operations across our resorts, villas and hospitality properties.

This role will be responsible for managing reservations, coordinating with multiple properties, supervising the reservations team, handling OTAs and direct bookings, and ensuring smooth and efficient reservation operations.

Key Responsibilities

- Manage and supervise day-to-day reservations operations across multiple properties.
- Handle reservations through OTAs, direct enquiries, phone, email, WhatsApp, corporate clients and travel partners.
- Ensure timely responses, accurate booking entries, confirmations, amendments and cancellations.
- Monitor room availability, inventory and booking status across properties.
- Coordinate with Front Office, Property Managers, Housekeeping and other departments regarding reservations.
- Handle corporate, group and special booking enquiries.
- Monitor OTA availability, rates, restrictions and booking information.
- Maintain rate parity and identify discrepancies across booking channels.
- Monitor occupancy, booking trends and revenue opportunities.
- Follow up on pending enquiries and maximise booking conversions.
- Handle reservation-related guest/client concerns and ensure timely resolution.




- Supervise and guide reservation executives and monitor the accuracy and efficiency of their work.
- Prepare daily/weekly reservation reports, booking summaries, occupancy updates and other MIS.
- Track cancellations, pending payments, booking guarantees and other reservation follow-ups.
- Ensure proper documentation and maintenance of reservation records.
- Coordinate with property teams during high-occupancy periods, group bookings and special events.
- Identify gaps in the reservations process and recommend improvements.
- Take ownership of reservation-related issues and ensure proper closure.

Candidate Profile

- 2–4 years of experience in hotel/resort reservations.
- Experience handling OTA, direct, corporate and group bookings.
- Experience with PMS, channel managers and online booking platforms.
- Robust communication and coordination skills.
- Good numerical and analytical skills with attention to detail.
- Ability to manage multiple properties, bookings and priorities simultaneously.
- Previous experience supervising or guiding a reservations team will be preferred.
- Hospitality/hotel management background preferred.
- Should be comfortable taking ownership and working independently.
