Sales Coordinator (Inbound & Follow-up)

Position: Sales Coordinator – Inbound Inquiries & Follow-up

Location: Rajkot (office-based, full-time)

Reports to: Founder / Sales Head

MECSUS imports and sells Wire Cut EDM, EDM Drill, CNC Tool Grinder and CNC EDM machines, plus consumables such as moly wire, filters, coolant gel and diamond guides. We are hiring a Sales Coordinator to handle every inbound inquiry quickly, qualify it, and follow up consistently until it becomes a meeting, quotation or order.

Key responsibilities

Inbound inquiry handling

- Respond to all inbound inquiries (phone, WhatsApp, website chat, email, IndiaMART/TradeIndia, exhibitions) within 30 minutes
- Qualify each lead: machine type, application, job size, budget, timeline and decision-maker
- Log every inquiry in Zoho CRM with complete details and correct lead source
- Share brochures, specifications and basic price information as approved

Follow-up and conversion

- Follow up on open leads and sent quotations as per a fixed schedule (call + WhatsApp + email)
- Fix meetings, demos and factory/showroom visits for the sales and technical team
- Prepare and send quotations and proforma invoices in coordination with the founder
- Track pending payments, order confirmations and dispatch updates with customers

Coordination and reporting

- Coordinate between customer, sales, service and accounts for smooth order processing
- Update call logs, meeting status and next follow-up dates in Zoho CRM daily
- Share a daily activity report and weekly pipeline summary
- Make outbound calls for lead generation when inbound volume is low
- Handle repeat consumables inquiries and reorders from existing customers

KRAs and KPIs
- Inquiry response: Reply to every current inquiry within 30 minutes




- CRM discipline: Log 100% of inquiries in Zoho CRM with full details
- Follow-up: Complete the daily target of connected follow-up calls (unanswered calls not counted)
- Meetings: Fix 12 meetings / demos per week for the sales team
- Quotations: Follow up on every quotation within 48 hours of sending
- Reporting: Submit a daily activity report every working day

Targets will be reviewed after the first 60 days.

Requirements

Must have

- Fluent spoken Hindi, English and Gujarati (customers call from Gujarat, Maharashtra and South India)
- Graduate in any discipline (BBA, B.Com, B.Sc or Diploma preferred)
- 0–3 years in sales coordination, inside sales, tele-sales or customer support; freshers with strong communication skills are welcome to apply
- Confident on phone, polite and persistent in follow-up
- Working knowledge of MS Excel / Google Sheets, email and WhatsApp Business

Good to have

- Experience with Zoho CRM or any other CRM
- Background in industrial machinery, CNC, EDM, tooling or engineering products
- Basic understanding of quotations, GST invoices and dispatch documents

Personal qualities

- Organised, disciplined and detail-oriented
- Quick learner who can understand basic machine specifications
- Takes ownership of every lead until it is closed or rejected
