PRIVATE FAMILY OFFICE • FOUNDING HIRE
Investment Reporting & Client Servicing Analyst
Role Overview
We are a boutique, principal-led family office managing a concentrated portfolio of investments across listed equities, PMS/AIF mandates, private equity, real estate, and fixed income. This is the first dedicated reporting/investment support hire for the family office there is no existing team, process, or system to inherit.
The Investment
Reporting & Client Servicing Analyst will therefore both build and run the function: setting up the reporting formats, dashboards, trackers, and workflows from scratch, and then owning them day to day. This suits someone who is energised by building something from a blank page, not just maintaining an existing process, and who is comfortable working directly with the principal and family members with minimal supervision.
Founding Responsibilities — Setting Up the Function
- Design and build the family office's core reporting infrastructure: consolidated portfolio tracker, dashboards, and MIS templates covering equities, PMS/AIF, private equity, real estate, and fixed income.
- Define standard reporting formats, cadences, and templates for principal updates, performance reports, and family meeting decks — establishing the house style from the ground up.
- Set up a document and record-keeping system for investment contracts, KYC, capital call/distribution notices, and compliance paperwork across entities and family members.
- Establish data-collection workflows with custodians, brokers, PMS/AIF managers, banks, and RMs so information flows in reliably and on a fixed schedule.
- Create the initial fee-calculation, margin-tracking, and liquidity-monitoring processes, including simple checks/controls for accuracy.
- Recommend and help evaluate reporting/BI tools (beyond Excel) as the family office's needs and portfolio complexity grow.
- Document the processes created,
so the function is repeatable and not dependent on institutional memory alone.
Ongoing Responsibilities — Running the Function
- Consolidate and maintain a single view of the family's holdings across custodians, brokers, PMS/AIF managers, mutual funds, and direct/private investments.
- Prepare and update investment dashboards, MIS reports, and portfolio summaries for the principal, with accuracy and confidentiality as top priorities.
- Track account margins, liquidity, and cash positions; support deployment of excess funds and short-term treasury decisions in line with family investment policy.
- Assist with fee calculations, quarterly and annual performance reporting, capital call/distribution tracking, and XIRR/benchmark analysis.
- Coordinate with external fund managers, banks, custodians, RMs, wealth advisors, CAs, and legal counsel to ensure timely, accurate data flow.
- Prepare and format investment pitch decks, board notes, and family meeting presentations.
- Support onboarding and due diligence for new investment opportunities, including basic financial and document review.
- Maintain organised records of investment documents, contracts, KYC, and compliance paperwork across entities and family members.
- Track real estate and alternate asset holdings alongside financial investments for a true consolidated net-worth view.
- Identify and drive process improvements — automation, templated reporting, and better use of Excel/PowerPoint/BI tools.
- Maintain strict confidentiality and discretion given the sensitive,
personal nature of family financial information.
- Stay current on market developments, tax and regulatory changes relevant to the family's investment portfolio.
Skills & Qualifications
- Bachelor's degree in Finance, Accounting, Economics, or related field (freshers welcome).
- 2–3 years of experience in finance, accounts, wealth management, or reporting (internship experience accepted).
- Strong working knowledge of financial markets and instruments — equities, mutual funds, PMS/AIF structures, and options/derivatives (features, strategies, and risk) — with the ability to apply this in day-to-day tracking and reporting.
- Willingness to execute trades and other market actions strictly as per the principal's instructions and the family office's investment guidelines, with discipline and accurate record-keeping.
- Exposure to or interest in alternate asset classes — private equity, real estate, and structured products — is a robust plus.
- Advanced proficiency in MS Excel (must) — formulas, pivot tables, dashboards; willingness to learn BI/reporting tools (Power BI, etc.).
- Strong PowerPoint skills for investor-grade decks and presentations.
- High attention to detail, discretion, and a trustworthy, low-ego working style suited to a small, principal-facing team.
- Excellent written and verbal communication for direct interaction with principals, family members, and external advisors.
- Comfortable wearing multiple hats and managing competing priorities within a lean team structure.
- Basic understanding of family office structures, trusts, or estate/succession considerations is an advantage, though not required.
