About Nexus Enterprise

Nexus Enterprise is engaged in the supply, installation, testing, and commissioning of HVAC equipment, including air conditioners and other electronic products, for government departments, PSUs, corporate clients, and institutional customers. We are looking for a skilled and result-oriented Tender Executive with hands-on experience in HVAC tendering, GeM portal operations, and government e-tendering.

Job Summary The candidate will be responsible for identifying relevant HVAC tenders, preparing tender documentation, submitting bids through the Government e-Marketplace (GeM) and other government e-procurement portals, coordinating with OEMs and internal teams, and ensuring timely and accurate submission of bids.

Key Responsibilities

- Search, identify, and evaluate HVAC tenders related to air conditioners, VRF/VRV systems, chillers, ventilation systems, and other HVAC equipment.
- Handle end-to-end tendering activities on the GeM portal, including bid participation, reverse auctions, and order/contract processing.
- Manage e-tendering through Central Government, State Government, PSU, Defence, Railway, and other institutional procurement portals.
- Study tender documents, NITs, BOQs, technical specifications, eligibility criteria, EMD, bid security, and other commercial requirements.
- Prepare and submit technical bids, financial bids, price quotations, compliance sheets, and supporting documents.
- Coordinate with OEMs and authorised dealers such as LG, Voltas, Blue Star, Daikin, Lloyd, Godrej, and other HVAC brands for quotations, authorisations, technical compliance, and product availability.
- Prepare comparative statements, costing sheets, BOQs,



and price calculations to ensure competitive and profitable bidding.
- Arrange and maintain documents such as GST registration, PAN, Udyam/MSME certificates, turnover certificates, experience certificates, OEM authorisations, and other tender-related documents.
- Monitor tender deadlines, corrigendums, pre-bid meetings, bid openings, technical evaluations, and financial results.
- Handle EMD, Performance Bank Guarantee (PBG), security deposit, and other tender compliance requirements in coordination with the accounts team.
- Follow up with government departments, buyers, and consignee offices regarding tender queries, order status, and contract-related requirements.
- Manage GeM contracts, delivery period extensions (DP Refixation), CRAC-related matters, order amendments, and other post-award documentation.
- Maintain a tender MIS, submission tracker, bid pipeline, and records of participated, won, and lost tenders.
- Ensure that all bids are submitted accurately and within the stipulated deadlines.

Required Skills & Qualifications
- Graduate in any discipline; technical or business-related qualifications will be preferred.
- 1–4 years of relevant experience in HVAC tendering, government e-tendering, or GeM operations.
- Practical knowledge of the GeM portal and government procurement procedures.
- Understanding of HVAC products, particularly split ACs, cassette ACs, ductable ACs, VRF/VRV systems, and related equipment.
- Ability to read and interpret tender documents, technical specifications, BOQs, and commercial terms.
- Good working knowledge of MS Excel, Word, PDF documentation, and online tender portals.
- Strong coordination, communication, documentation,



and follow-up skills.
- Ability to manage multiple tenders and meet strict submission deadlines.
- Attention to detail and a commercial mindset for accurate costing and profitable bidding.

Preferred Candidate
- Candidates with prior experience in HVAC companies, air-conditioning dealerships, OEMs, or government tendering firms will be preferred.
- Candidates who have independently handled GeM bids from tender identification through contract award will have an advantage.
- Knowledge of government procurement policies, OEM authorisations, EMD exemptions, and tender eligibility conditions will be an added advantage.
