Job Summary

We are looking for an organized and detail-oriented Dispatch Executive to coordinate the timely and accurate dispatch of products and shipments. The role will involve coordinating with internal teams, logistics partners, transporters, and field personnel to ensure smooth order execution, accurate documentation, shipment tracking, and timely delivery.

Key Responsibilities

Dispatch & Order Coordination

· Receive and process dispatch requests, delivery orders, and shipment instructions from relevant teams.

· Coordinate timely dispatch of products in accordance with approved orders and delivery schedules.

· Verify product details, quantities, packaging, and dispatch documentation before shipment.

· Prioritize urgent and time-sensitive shipments to ensure timely execution.

Logistics & Transportation Coordination

· Coordinate with transporters, courier partners, drivers, and logistics service providers for shipments.

· Assign vehicles or logistics resources based on shipment requirements and delivery schedules.

· Monitor shipment movement, routes, and delivery status until successful completion.

· Provide logistics partners with necessary shipment, delivery, and handling instructions.

Documentation & System Management

· Prepare and maintain dispatch documents, shipment records, delivery challans, invoices, and related documentation.

· Update dispatch details, shipment status, and delivery information in ERP/system databases.

· Maintain accurate logs of dispatches, deliveries, transporter details, and pending shipments.

· Ensure all dispatch records are complete, accurate, and readily accessible.

Shipment Tracking & Issue Resolution

· Track shipments and proactively follow up on delays, exceptions, or delivery issues.

· Coordinate with internal teams and logistics partners to resolve shipment-related problems.

· Escalate critical delays, damages, shortages, or delivery discrepancies to the concerned stakeholders.





· Maintain regular communication with relevant teams regarding shipment status and exceptions..

Compliance & Coordination

· Ensure dispatch activities comply with company procedures and applicable regulatory requirements.

· Coordinate with Warehouse, Sales, Finance, QA, Production, and Customer Service teams.

· Ensure proper handling and documentation of pharmaceutical and chemical products during dispatch.

· Support continuous improvement of dispatch processes and delivery efficiency.

Qualification

· Graduate in any discipline.

· Degree in Logistics, Supply Chain Management, Operations, or a related field will be an added advantage.

Experience

· 1+ years of experience in dispatch, logistics, warehouse operations, order processing, or a related function.

· Experience in pharmaceutical, chemical, manufacturing, or export-oriented organizations will be preferred.
