Job Description (JD) – Inventory & Medicine Stock Management

Position: Inventory & Medicine Stock Management (Fresher)

Department: Operations / Pharmacy / Store Management
Location: Clinic / Healthcare Center
Reporting To: Center Manager / Operations Manager

Job Summary

The Inventory & Medicine Stock Management Executive is responsible for maintaining accurate inventory records, ensuring timely availability of medicines and consumables, monitoring stock levels, coordinating procurement, preventing stock shortages, and maintaining compliance with inventory management processes.

Key Responsibilities:-

- Maintain accurate records of medicines, consumables, medical supplies, and clinic inventory.
- Monitor daily stock movement, including inward, outward, and stock adjustments.
- Conduct regular physical stock verification and reconciliation.
- Ensure proper storage and organization of medicines and supplies.
- Track batch numbers, expiry dates, and stock availability.

Medicine Stock Management

- Monitor medicine inventory levels and ensure adequate stock availability.
- Identify fast-moving and slow-moving medicines.
- Maintain minimum and maximum stock levels.
- Ensure FEFO (First Expiry First Out) and FIFO (First In First Out) inventory practices.
- Coordinate timely replenishment of medicines to avoid stock-outs.

Procurement & Vendor Coordination

- Raise purchase requisitions based on stock requirements.
- Coordinate with vendors and suppliers for medicine procurement.
- Follow up on purchase orders and delivery schedules.
- Verify received stock against purchase orders and invoices.
- Report discrepancies in quantity, quality, or expiry dates.

Stock Audits & Compliance

- Conduct weekly and monthly inventory audits.
- Prepare stock variance reports and investigate discrepancies.
- Ensure compliance with inventory control policies and SOPs.
- Maintain documentation for audits and inspections.





Reporting & Documentation

- Generate daily, weekly, and monthly inventory reports.
- Maintain inventory records in CRM, ERP, or inventory management systems.
- Track stock consumption trends and submit reports to management.
- Maintain proper documentation of stock transfers, returns, and damages.

Loss Prevention & Cost Control

- Minimize inventory wastage and pilferage.
- Monitor near-expiry medicines and coordinate utilization or return.
- Ensure optimal stock levels to avoid excess inventory carrying costs.
- Implement inventory control measures to improve efficiency.

Qualifications

- Graduate in Pharmacy, Healthcare Administration, Operations, Commerce, or related field.
- 1–3 years of experience in inventory, pharmacy stock management, healthcare operations, or store management.
- Experience in healthcare, hospital, clinic, Ayurveda center, or pharmacy operations preferred.

Preferred for Ayurveda & Orthopedic Healthcare Centers

- Knowledge of Ayurvedic medicines, Panchakarma consumables, oils, powders, and therapy materials.
- Experience managing clinic inventory, medicine dispensing, and treatment consumables.
- Familiarity with healthcare CRM/ERP systems and inventory reporting.
